Responsibilities

  • Lead HR functions including recruitment, training and performance reviews.
  • Manage budget, bookkeeping, donations, rentals, memberships, and grants.
  • Engage community partners and communicate with the Board.
  • Coordinate facility maintenance, bookings and safety programs.

Job description

The Executive Directoris responsible for overseeing the daily operations of the Deer Run Community Association, ensuring that it meets its mission to serve the community. This role involves strategic planning, staff and volunteer management, financial oversight, bookkeeping, community engagement, facility maintenance, and rental booking all while maintaining a high standard of service and safety.

KEY RESPONSIBILTIES:
Operational Management:
  • Oversee daily operations of the Deer Run Community Association, ensuring efficient and effective service delivery
  • Develop and implement operational policies and procedures
  • Ensure compliance with local, provincial, and federal laws and regulations, including OHS,employment standards, our bylaws, policiesand regulatory requirements
  • Collaborate with Childcare Director to ensure the efficient operation of the Childcare department
  • Act in the Front Desk / Facility Attendant role when those staff are not present
  • Maintenance and Lifecycle - Act as custodian ensuring timely completion of each project obtaining contractor quotes.
  • Programs Management - contracts and Insurance (long term)
  • Storage Renters - Management of contracts and insurance
Staff Management:
  • Recruit, train, supervise, and evaluate Front Desk staff to maintain high performance and service standards
  • Promote a positive work environment and encourage professional development
  • Manage staff schedules to ensure adequate coverage during hours of operation
  • Overall leadership with direct reports
  • Act as the Human Resources Lead on behalf of the Association
  • Staff performance management
  • Vacation management
  • Apply business acumen to foster the financial resiliency of the Association
  • Help develop, manage, and monitor the Association’s budget, ensuring alignment with their financial goals and mission
  • Identify opportunities for cost savings and revenue generation
  • Oversee financial transactions, including donations, rental revenue, membership sales, and grant money
  • Act as the A/R and A/P Lead on behalf of the Association
  • Act as the Association’s bookkeeper in collaboration with the Treasurer
  • Act as the Group Health Benefits Manager on behalf of the Association
  • Maintain the Association’s financial records according to the Societies Act of Alberta
  • Supply management - ensure procurement is done in timely and efficient way between all departments
Community Engagement and Customer Service:
  • Foster strong relationships with community members, organizations, schools, and local businesses
  • Develop and implement outreach strategies to increase facility usage and community involvement
  • Address guest complaints and feedback to ensure high levels of satisfaction
  • Collaborate with community stakeholders to maximize the Association’s impact in surrounding communities
  • Strong Communication ability
  • Serve as a spokesperson for the organization when required
Program Development and Implementation:
  • Recruit a diverse range of program providers that deliver high quality offerings that meet the needs of the community
  • Ensure the facility is prepared for each facility booking, including set-up and tear down if required
Facility Maintenance:
  • Ensure the facility is clean, safe, and well-maintained
  • Coordinate maintenance and repairs with contractors and vendors
  • Implement preventive maintenance programs to extend the life of equipment and capital infrastructure
  • Perform maintenance and landscaping duties, including snow clearing, lawn care, painting, minor repairs, and maintaining planters when required
Fundraising and Grant Management:
  • Identify and pursue appropriate fundraising opportunities, including grants, sponsorships, and donations
  • Develop and maintain relationships with donors as well as all levels of government
  • Oversee the application and management of certain grant applications, reporting, and compliance
Board:
  • Implement the Boards strategic direction and priorities
  • Liaison with the board (Key person)
  • Board reporting (Monthly)
  • Develop and execute the organizations vision, mission and strategic plan
