Our client within private wealth and located in Oakville requires an Executive Coordinator to join their team.This highly collaborative role will be responsible for delivering exceptional support and coordination to one of the firm’s Partners and his team. Reporting to one of the firm’s Principals, the Executive Coordinator role encompasses multiple aspects of daily administration, with high attention to calendar management, to support the smooth running of the office and the success of the team. This role works primarily on-site at our Oakville office; periods of remote work can be discussed.

The position will be responsible for coordinating the daily schedule for one of the Partners and select advisors for internal, external, and client meetings, and collaborate closely with the team to deliver exceptional support for the sales team.This role is expected to learn our sales processes, which requires strong attention to detail, the ability to manage conflicting priorities with a sense of urgency, meticulous preparation of materials, and a commitment to excellence. This environment is dynamic and fast-paced and rewards anticipation, self-leadership, and mature, sound judgment.

Responsibilities:

  • Manage the schedules and agendas of one of the firm’s Partners and select Advisors, their meetings and calls, and ensure that all commitments are met.
  • Schedule and set up in-person meetings, remote video sessions, and calls, and communicate the agenda clearly with all meeting participants.
  • Assist with the preparation of meeting materials.
  • Assist with various administrative duties in support of running the office and other duties as assigned, including booking travel, handling calls, making updates in Salesforce, etc.
  • Collaborate with the overall administrative team and ensure smooth coordination with internal specialists and resources.

Qualifications:

  • 5+ years of experience working in a similar role with high-performing executives, preferably in financial services.
  • Demonstrable ability to drive multiple tasks and small projects to timely completion in a dynamic team environment, working with and through specialists. Strong abilities around scheduling, coordination, and organizing.
  • Demonstrated expert-level communication skills, both written and verbal, with the ability to capture and present information clearly and concisely.
  • Ability to quickly learn, adapt, and bring into practice new knowledge and skills. Demonstrated problem-solving skills and basic project management experience.
  • Demonstrated ability to build trusted professional relationships and coordinate across a team.
  • Working knowledge of Salesforce CRM, strong expertise with MS Office products.
