Job Description:

Johnson & Johnson is recruiting for an Executive Business Support professional, for the Office of Inclusion, located in New Brunswick, NJ or Bogota, Colombia.

Per our J&J Flex Policy, the expectation for this position is to work in the office 3-4 days per week and work from home 1-2 days per week.

We are seeking a highly motivated and organized individual to join our team as an Executive Business Support professional. This role will be responsible for providing comprehensive executive administrative support to the Chief Inclusion Officer and their organization, including assisting with the coordination of various initiatives within the department. We are looking for someone who is passionate, energetic, agile and exhibits a high degree of professionalism while demonstrating a clear communication style. The selected candidate will anticipate the needs of the team they support, help them stay focused, resolve issues before they arise, and go the extra mile as needed. Role requires solid organization skills, the ability to work successfully in a matrixed environment, build and maintain relationships at all levels, handle various duties with appropriate prioritization and an ability to problem solve and learn new skills effectively.

Responsibilities:
  • Provide executive administration and business support to Chief Inclusion Officer.
  • Proactively manage and maintain the schedule for the CIO, including calendar management, travel arrangements (domestic and international), Expense reports and meeting coordination. Ability to take a strategic approach to calendar management by leveraging data to maximize productivity.
  • Support CIO travel by booking meeting spaces in remote locations (other campuses, and external locations).
  • Identify and anticipate organization and executives’ priorities to support prioritization of tasks and events.
  • Contribute to organizational operations and continuous improvement efforts with guidance from Office of Inclusion Leadership team members.
  • In collaboration with other team members, manage special projects and events for the Leadership Team including coordinating conference room reservations, catering requests and travel arrangements for complex group meetings as needed.
  • Prepare agendas and materials for executive meetings. Assist in the preparation of meetings, including agenda creation, meeting minutes, and follow-up on action items.
  • Coordinate and assist in developing, compiling, and processing associated business reports, analysis and purchase orders.
  • Ability to perform in a fast-paced environment and adapt to dynamic shifting priorities.
  • Handle various duties and special projects, including reviewing and proofreading, with appropriate prioritization and an ability to problem-solve and learn new skills.
Qualifications:

Required:

  • A minimum of a high school diploma is required; an associate or bachelor’s Degree is preferred.
  • Previous experience as an executive assistant or in a project management role.
  • Advanced Proficiency in MS Office Suite: Outlook, Excel, Word, PowerPoint and working knowledge of SharePoint.
  • Comfortable with technology to gain advanced proficiency quickly in SAP Ariba, SharePoint, Concur, AMEX Travel, Microsoft Teams, and Zoom meetings.
  • Global calendaring experience in a matrixed environment understanding time zone impacts to meetings and travel schedules.
  • Flexibility and willingness to accommodate requests from stakeholders in multiple time zones.
  • Detail-oriented with strong organizational skills and the ability to prioritize various tasks simultaneously.
  • Ability to maintain a high degree of confidentiality when exposed to sensitive matters.
  • Excellent analytical, problem-solving, organizational and prioritization skills.
  • Self-starter and works well in a team environment.
  • Proactive and self-motivated, with demonstrated ability to work independently and handle multiple responsibilities with tight deadlines.
  • Willingness to challenge and improve processes.
  • Able to use own initiative and judgement, problem solving / decision-making.
  • Strong verbal and written skills, strong communication and interpersonal skills, with the ability to interact effectively with all levels of the organization.

The anticipated base pay range for this position is : $77,000 - $124,000

Additional Description for Pay Transparency:

The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the applicable plan. Bonuses are awarded at the Company’s discretion on an individual basis.
