EXECUTIVE ASSISTANT, VP STRATEGY & PLANNING

The Opportunity

At BC Ferries, we connect communities and shape coastal life—every day. We are currently seeking a highly skilled and trusted Executive Assistant to provide critical support to our Vice President, Strategy & Planning, a key leader shaping the future of our organization.

As Executive Assistant, you play a pivotal role in ensuring the smooth and efficient operation of the VP’s office. You are discreet, highly organized, and proactive, with a proven ability to manage sensitive information and juggle competing priorities with confidence and professionalism.

The Role

Reporting to the VP, Strategy & Planning, you add value by key areas of oversight such as:

  • Providing high-level, confidential administrative support to the Vice President;
  • Assisting with projects and information that is highly sensitive in nature including Board and Commissioner level material, ensuring deadlines are met;
  • Collecting and preparing information for use in discussions and meetings of Executive staff and outside individuals as well as for the department team;
  • Coordinating, creating, editing and assembling slides for presentations that includes executive level information;
  • Makes administrative decisions, handles correspondence on behalf of the VP and schedules calendar appointments
  • Managing a highly active and fast-paced calendar of meetings, appointments, travel, and events, ensuring the VP’s schedule is well-organized and prioritized. Making independent scheduling decisions on behalf of the VP to optimize time and commitments;
  • Arranging department and group meetings, speaking engagements, conferences and large functions ensuring all necessary information and support is available;
  • Coordinating and making travel arrangements for the VP;
  • Overseeing the department budget tracking, invoicing, purchase orders and variance reporting;
  • Supporting Freedom of Information (FOI) requests as divisional representative;

What you bring to the team

  • A certificate or diploma in Business or Office Administration (or related discipline)
  • A minimum of 5 years’ experience in a senior administrative or executive support role
  • Exceptional judgment, discretion, and attention to detail
  • Strong communication skills and the ability to manage information of a highly confidential and time-sensitive nature
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams, OneDrive) and SharePoint

Additional information

The target salary range: $66,500 to $83,100 per annum. The starting salary is determined based on the successful candidate’s knowledge, experience and internal equity.
