Capital One Canada is looking for a proactive and detail-oriented Executive Assistant to lead the administrative duties for the President of our organization. This position requires someone who is comfortable representing the Office of the President with professionalism, adapting quickly to change, and remaining calm under pressure. The role demands a high level of ownership, organization, multitasking, and decision-making to support the President effectively.
Responsibilities:
- Serve as the primary contact for all matters related to the President of Capital One Canada, representing the brand with professionalism, enthusiasm, and optimism.
- Coordinate logistics for executive meetings, events, and offsites, collaborating with other departments to ensure smooth operations.
- Prepare agendas, itineraries, and attend meetings as needed, capturing and synthesizing minutes.
- Manage executive task lists, prioritizing based on judgment, timelines, and importance.
- Provide proactive calendar management, coordinating complex meetings with internal and external stakeholders, including detailed documentation.
- Lead and mentor the executive administrative community, supporting engagement and organizational activities.
- Handle incoming calls, screen emails, and manage messages to support effective responses.
- Coordinate travel arrangements and manage expenses, including creating detailed itineraries.
- Assist in preparing and distributing presentation materials such as decks and speaking notes.
- Maintain high levels of customer service internally and externally.

Basic Qualifications:
- High School Diploma, GED, or equivalent.
- 10 years supporting senior executives, preferably in finance, with experience in travel, communication, and project coordination.
- 10 years experience with electronic office tools (Google Suite preferred).
- 7 years in written and spoken communication.
Preferred Qualifications:
- Bachelor's Degree.
- Notary public certification.
- Experience with Google Workspace tools.
