Mamaweswen, The North Shore Tribal Council invites applications for the position of Executive Assistant to the Chief Executive Officer (CEO).
Purpose
The Executive Assistant to the Chief Executive Officer (CEO), will assist by providing support in the areas of administration, coordination of meetings, service delivery and finance withMamaweswen, The North Shore Tribal Council.
Responsibilities:
Organization and Administration of Executive and Board
- Provide Support to the CEO and Board of Directors.
- Ensure administrative support is provided to the office of the Chief Executive Officer (CEO) such as, arranging travel and logistics to include booking flights, car rental and hotel accommodation.
- Effectively oversee the CEO schedule/calendar.
- Provide Program Managers regular contact with CEO Office for follow up.
- Arrange and plan Board meetings and logistics as required.
- Work closely with Administrative Support for Maamwesying and other related organizations.
- Attend Program Managers meeting and Boad meeting for the purpose of minute taking, agenda preparation information kits, distribution, site selection etc. Alternate meetings may be required and assigned by your supervisor based on the needs of the Mamaweswen, The North Shore Tribal Council.
- Assist in the planning and execution of a variety of tasks associated with larger gatherings.
- Create drafts and various types of correspondence as assigned and internal office communications as directed.
- Prepare preliminary written responses on various standard issues in a timely manner as directed by the CEO.
- Establish and maintain a system for all materials relevant to the CEO’s responsibilities/duties.
- Work with vendors and contacts as directed by the CEO
Financial Administrative Support
- Calculate and track expenses incurred by the CEO.
- Coordinate travel and reconciliations for meetings relevant to the office of the CEO, the Executive Committee and Board of Directors.
- Ensure cheque requisitions for invoicing and honorariums are complete and submitted to the Chief Administrative Officer or Chief Finance Officer for approval.
- Act as a Liaison for items that need to be purchased.
- Liaison with member First Nation support staff to confirm any invoicing or other documentation relevant to the office of the CEO are completed.
Qualifications
The Executive Assistant to the Chief Executive Officer (CEO) shall possess:
- Diploma in Business Administration or equivalent experience in general office administration.
- A minimum of three years.
- Knowledge and experience in Microsoft Office Software Applications.
- Ability to demonstrate administrative skills.
- Excellent organizational skills.
- Excellent oral and written communication skills.
- Excellent interpersonal skills and ability to promote teamwork.
- Must provide a clear Criminal Reference Check.
- Travel is Required – Applicant must possess Class G Ontario Driver’s License and access to own vehicle.
