Job description

Sanctuary, a world leader in building AI-based control systems for humanoid robots, is looking to hire a skilled and motivated Executive Assistant to the CEO. The Executive Assistant is a crucial part of our team, providing high-level administrative support to our CEO, with occasional support for other members of the executive team, including our COO and CTO.

This role goes beyond traditional EA responsibilities - you will gain exposure to the evolving landscape of humanoid robotics, an industry that is advancing at an extraordinary pace. As our company navigates new opportunities and challenges, this role offers a unique chance to be at the center of decision-making, cross-functional initiatives, and operational execution. Success Criteria
  • Coordinate complex calendars, demonstrating flexibility and proactive problem-solving to ensure seamless scheduling across time zones and priorities.
  • Assist in the coordination of domestic and international travel, including booking flights, accommodations, and transportation, ensuring attention to detail and timeliness.
  • Plan and execute a variety of internal and external events, offsites, and meetings, ensuring smooth logistics and a positive experience for all attendees.
  • Serve as a point of contact for corporate visits, welcoming external clients and partners.
  • Submit accurate and timely expense reports, purchase orders, and invoices for payment.
  • Collaborate effectively with peers, colleagues, and cross-functional teams to support company-wide projects and initiatives.
  • Maintain a high level of responsiveness in all communications, ensuring timely and accurate responses to inquiries. Assist with both internal and external written communications, ensuring clarity and professionalism.
  • Support project coordination and task management, including taking clear and actionable meeting notes.
  • Maintain the highest level of confidentiality and discretion in handling sensitive information.


Your Experience

Qualifications

  • 3+ years of experience in an Executive Assistant or similar administrative role, ideally in a startup or dynamic environment.
  • Bachelor's degree or equivalent experience preferred.
  • Excellent written and verbal communication skills, with meticulous attention to detail.
  • Strong interpersonal skills with the ability to collaborate effectively with diverse stakeholders.

  • Outstanding organizational and time-management capabilities, with the ability to balance multiple priorities.
  • Proactive and resourceful problem-solver who anticipates needs and takes initiative.
  • Tech-savvy, with proficiency in tools like Google Workspace, Slack, and project management software.
