Description

We’re looking for an exceptionally organized, proactive, and detail-driven Executive Assistant to support a top real estate broker in Markham. If you’re someone who thrives in a fast-paced environment, loves bringing structure to chaos, and takes pride in being the steady hand behind a high-performance business, this might be the perfect role for you.

As the Executive Assistant, you’ll be the right hand to the broker—managing operations behind the scenes so they can stay focused on growth, strategy, and client success. From inbox management to co-ordinating appointments, booking vendors (such as Home Cleaners, Movers etc.), client communication, and organizing key systems, your work will directly impact the momentum of the business.

You’ll wear many hats, but your main priority is ensuring that everything runs smoothly, professionally, and with a high level of care.

Responsibilities

  • Manage the broker’s calendar, inbox, calls, and travel logistics
  • Serve as a key point of contact for clients and partners, ensuring timely and professional communication
  • Prepare Contracts, Offers, and load MLS Listings
  • Maintain and organize digital records, contracts, listings, and CRM data
  • Support listing preparations and client onboarding
  • Step in and be the go-to person when something needs to be handled—fast, smart, and right the first time

Qualifications

  • Exceptional organization and detail-oriented
  • Can anticipate needs and take initiative without being asked
  • Communicate clearly, professionally, and with confidence
  • Have experience supporting a senior leader or entrepreneur (real estate experience is a plus)
  • Are tech-savvy and comfortable with tools like Google Workspace, CRMs, Canva, Broker Bay, Realm, Docusign, and scheduling software
  • Thrive in a fast-moving, dynamic environment where no two days are the same
  • Understand the importance of confidentiality and professionalism at all times
  • Real estate experience preferred but not required
