Executive Assistant to COO/VP Program Services

Join to apply for the Executive Assistant to COO/VP Program Services role at Kinark Child and Family Services.

Job Summary: Reporting to the COO/VP Program Services, the Executive Assistant provides administrative support and project coordination to the assigned Executive and their direct reports, ensuring stakeholder needs are met.

Kinark offers a benefit allowing eligible employees to work partially or fully remote. This role requires a minimum of 2 days per week in the office unless business demands require otherwise.

Responsibilities include:
  • Managing schedules for COO and Directors
  • Communicating with stakeholders about deadlines and issues
  • Coordinating projects related to COO strategic priorities
  • Preparing reports, presentations, and minutes
  • Handling credit card reconciliations and expense reports
  • Processing invoices
  • Supporting Board committees with agendas and minutes
  • Utilizing technology to improve workflows, emphasizing Lean principles
  • Coordinating department and corporate events
  • Collaborating within the Administrative Support Team
  • Performing other duties as assigned
Qualifications:
  • College diploma in office administration or related field
  • At least five years of administrative support experience
  • Proficiency in Office 365 (Word, Excel, PowerPoint)
  • Knowledge of WebEx, OneNote, Teams, SharePoint is an asset
  • Technologically savvy and eager to learn
  • Self-motivated team player
  • Ability to lift light objects (up to 5kg/11lb)
  • Strong planning and communication skills
  • Good project management abilities
  • Discretion and confidentiality awareness
  • Ability to prioritize effectively
  • Financial skills related to expenses and reconciliations
  • Availability to attend monthly Board meetings after hours
