Job Description:

We are seeking a dedicated Executive Assistant to support the CEO of our company. This multifaceted role combines traditional administrative and corporate maintenance duties with interpersonal tasks, ensuring the smooth functioning of daily operations. The ideal candidate will be proactive, highly organized, and adept at managing both personal and professional tasks with efficiency and precision. Attention to detail is crucial, and the candidate must appreciate the importance of maintaining confidentiality regarding highly sensitive information.

Responsibilities:

  • Schedule appointments and maintain/update the CEO's daily agenda.
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports to the accounting team.
  • Screen all incoming calls, emails, inquiries, visitors, and correspondence, routing them accordingly.
  • Process payments, perform reconciliation of accounts, and handle check runs to the bank as necessary.
  • Manage the CEO’s email, prioritizing messages and ensuring timely responses.
  • Follow up on tasks assigned by the CEO, prioritizing based on urgency and importance.
  • Ensure timely processing of payments with sufficient funds in the appropriate bank account and manage invoice processing.
  • Prepare reports and presentations as required.
  • Organize media materials, ensuring accuracy and timely delivery.
  • Assist in special projects and initiatives as assigned by the CEO.
  • Cultivate positive relationships with clients, partners, stakeholders, and the media.
  • Draft press releases, manage media inquiries, and coordinate public relations efforts.
  • Develop and maintain a media contact list and oversee communications to enhance the CEO’s public presence.
  • Monitor media coverage and prepare summaries for the CEO.
  • Manage the CEO's public appearances, ensuring all logistics and materials are prepared in advance.

Skills and Qualifications:

  • AEC/DEC or equivalent.
  • 3-5 years of relevant experience in an administrative or public relations role.
  • Proficiency in English and French (Spanish fluency is an asset).
  • Familiarity with MS Office and Gmail; proficiency in Excel is required.
  • Basic knowledge of retail banking processes.
  • Strong customer service orientation and negotiation skills.
  • High degree of accuracy, attention to detail, and superior time management skills.
  • Ability to be proactive and use initiative effectively.
  • Demonstrated sound judgment regarding confidential and sensitive matters.
  • Excellent organizational skills and the ability to multitask effectively.
  • Full-time position (37.5 hours/week).
