Your role:

The selected candidate will assist the Industrial Manager of the Beyond Road business line in the execution of their activities. In addition, he/she will assist the team in administrative operations: personnel, purchasing, IT, travel, organization of meetings and document management.

What we need you for

Collaboration with the Director

  • Manages the agenda of the director and optimizes time, while managing all subjects within the deadlines (agenda/trips, documents/files/reports).
  • Organizes the Manager’s professional trips, manages the logistics through the existing tool, gathers travel documents, complete the expense reports.
  • Works out the annual Entity calendar considering the calendar distributed by the Entity Executive Assistant.
  • Distributes the calendar to the direction team on a date identified with the Manager.
  • Organizes the meetings and seminars within the calendar while respecting all the deadlines.
  • Organizes meetings (logistics and planning): suggests meetings’ agendas, attends if needed and writes the meeting minutes.
  • Ensures the tracking of actions identified within the meetings.
  • Organizes occasionally the Entity’s events (seminars, team buildings…).
  • Provides the Manager with all the elements/files/presentations/reporting necessary to his/her activity within the deadlines and with a critical eye.

Preparation and/or management of files

  • Manages complementary assigned missions independently.

Extended Support to the team:

  • Manages the Personnel administration: recordings and specific tasks within the deadlines (other than vacation absenteeism, medical visits, mandatory training, mutation forms, newcomers welcome, departure ...).
  • Organizes meetings considering deadlines, timing, participants, connections, agenda and venue.
  • Greets and directs visitors of the entity.

Welcome and department Image:

  • Meets various (internal and external) requests and offers adapted responses.
  • Greets and directs visitors of the Entity.

What do you need to possess for being successful:

  • You have a high school diploma; additional qualification as an administrative assistant or secretary will be an asset.
  • You have demonstrated experience as an administrative assistant.
  • You have knowledge of office management systems and procedures.
  • You are proficient in MS Office (MS Excel and MS PowerPoint, in particular);
  • You are discreet.
  • You are excellent with time management and can prioritize work.
  • You are detail-oriented and problem-solving.
  • You are bilingual, you have excellent written and verbal communication skills.
  • You have strong organizational skills with the ability to multitask.
