Job description

The Opportunity

As the Executive Assistant for Teachers' Venture Growth (TVG), you will provide high-level administrative support to the senior leaders within the team. In this role, you will manage calendars, coordinate meetings, and assist with event planning and management. You will also be responsible for making travel arrangements, coordinating expenses, and planning team activities and events. Your role will be critical in ensuring seamless operations, enabling the leadership team to focus on driving the mission and vision of TVG, which involves investing in innovative, late-stage companies that use technology to shape a better future.

Who You’ll Work With

Reporting to the Managing Director, Teachers' Venture Growth, you will be providing a wide range of support to the TVG team in our Toronto office.

What You’ll Do
  • Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.

  • Assist with onboarding and new hire processes, including coordinating organizational details and team events.

  • Manage and track team expenses, including submission and processing of expense reports.

  • Process and record invoices, and prepare monthly expense reports.

  • Prioritize and coordinate meetings, ensuring alignment with departmental timelines and priorities.

  • Support the preparation of presentations and materials for meetings with portfolio companies, investors, and other stakeholders.

  • Plan and support team meetings, including sector-specific event planning for the investment team.

  • Coordinate internal and external meetings, ensuring alignment across teams and time zones.

  • Review and prioritize incoming correspondence for the Managing Director and team.

  • Greet visitors, manage general inquiries, and arrange catering for team meetings.

  • Maintain a high degree of confidentiality, using excellent judgment and discretion in handling sensitive information.

  • Identify items requiring immediate action, applying sound judgment to prioritize tasks with minimal direction.

  • Provide various administrative duties internally, and communicate effectively with partners, vendors, and visitors while managing confidential and critical details.

What you’ll need
  • Professional certificate, College diploma or University degree.

  • Excellent communication, organizational, and analytical skills, specifically related to time management, budgets and events.

  • Demonstrates ability to be proactive, take initiative, exercise good judgment, discretion and confidentiality in all tasks.

  • Comfortable multi-tasking and able to deliver results under tight deadlines with an occasionally non-traditional work schedule.

  • Maintains confidentiality and acts with discretion with a high degree of maturity and professionalism with senior leadership.

  • Strong relationship-building skills with the assistant community, internal/external leaders, and team members.

  • Proficiency in MS Office Suite, SharePoint, Teams, and Workday.

  • Familiarity with various digital tools and a willingness to experiment with emerging technology.

  • Over 5 years of experience working in a dynamic, high-volume corporation or agency, with demonstrated experience supporting executives and event planning. Preference for experience in the venture capital or private equity industries.
