Job description

The Executive Assistant supports both the SVP of Global Data Technology and the VP of the Group Functions Data Office. Global Data Technology provides comprehensive data services worldwide to support Manulife's digital leadership ambitions.

Position Responsibilities:
  • Provide advanced administrative support for executives, including managing calendars and meetings.
  • Utilize department software to generate reports, brochures, and publications.
  • Prepare reports, letters, graphics, and other documents.
  • Handle routine correspondence and independently compose documents as needed.
  • Gather information for reports and meetings.
  • Coordinate internal and external meetings.
  • Screen inquiries and direct requests appropriately, following up as necessary.
  • Respond independently to questions in the manager’s absence, using discretion and judgment.
  • Investigate problems, determine research methods, and analyze data.
  • Prepare management reports and recommendations.
  • Maintain department filing systems, including confidential data.
  • Assist with onboarding new hires and contractors.
  • Ensure compliance with security and compliance checks.
  • Manage technical support and troubleshoot issues.
  • Assist in developing PowerPoint presentations.
  • Manage administrative projects, ensuring timely completion.
  • Analyze data, test for reasonableness, and suggest improvements.
  • Track expenses and invoices, report variances, and research discrepancies.
  • Attend meetings, record proceedings, and coordinate follow-up actions.
  • Arrange travel and related expenses for staff.
  • Organize meetings and functions, including venue and catering.
  • Train and support other administrative staff.
  • Perform additional duties as assigned, including space planning and recordkeeping.
  • Collaborate with team members to improve administrative functions and support special projects.
  • Mentor support staff.
Required Qualifications:
  • Associate’s degree or equivalent.
  • At least 5 years of administrative experience.
Preferred Qualifications:
  • Proficiency in MS Office, especially Outlook.
  • Experience managing executive schedules and priorities.
  • Strong coordination skills.
  • Proven business partnering ability.
  • Efficient service delivery.

Salary and location:
