Job description

We are looking for an Executive Assistant to join our Corporate Services team.
In this dynamic role, you will support the implementation and oversight of key programs and processes that advance both corporate and departmental strategic goals. You’ll provide essential business support in areas such as strategy, financial management, policy compliance, integrated processes, operations, procurement, and Council/Committee reporting. You will also take on the role of Budget Coordinator, leading the City’s annual budgeting and forecasting process to support sound financial planning and informed decision-making across the organization.

What You’ll Be Doing:
In this dynamic role, you will provide operational and financial support to the Corporate Services department. You’ll lead and coordinate budgeting and forecasting, guide administrative processes, and support departmental compliance with corporate policies. You’ll also collaborate across departments, support the preparation of Council reports and materials, oversee records management and FOI requests, and champion process improvements.

Skills You’ll Use:

  • Lead and support a team by coordinating day-to-day activities, offering guidance, and fostering a collaborative work environment.
  • Manage budgeting and financial analysis by coordinating the annual budget process, analyzing submissions, and preparing reports to support strategic decision-making.
  • Drive projects and improve processes by leading cross-departmental initiatives and finding more efficient ways to deliver services.
  • Apply policy knowledge to ensure departmental compliance with corporate procedures, procurement rules, and legislative requirements.
  • Engage with stakeholders by building strong relationships, communicating clearly, and supporting the preparation of Council and Committee materials.
  • Conduct research and prepare reports to inform departmental strategies, respond to issues, and support continuous improvement.
  • Oversee records and information management by coordinating records activities, administering FOI requests, and ensuring proper documentation practices.

Qualifications:

  • Post-secondary education in business, finance, public administration, or a related field
  • Experience in budgeting, financial analysis, and interpreting policy
  • Strong leadership and coordination skills
  • Clear and effective communication with internal and external stakeholders
  • Proven ability to lead projects and support process improvements
  • Knowledge of municipal operations, procurement, and records/FOI is an asset
  • Comfortable using financial systems and performance reporting tools
