Job summary

BDO Canada Montreal is seeking an Executive Assistant to join the Advisory team, providing high-level administrative support to partners and leadership. You will manage calendars, travel arrangements, meetings, and prepare reports.

Qualifications

  • 3–5+ years of experience in an executive assistant role or similar.
  • Office Administration diploma or equivalent education is an asset.
  • Experience in a professional services firm is an asset.
  • Excellent knowledge of Microsoft Office (Word, Excel, Outlook).
  • Ability to prioritize workload and manage multiple tasks.
  • Ability to work quickly and take on more responsibilities over time.
  • Ability to work in a deadline-driven environment with confidential information.
  • Strong problem-solving, analytical, and communication skills both written and oral.
  • Value teamwork, client service, and quality in detailed work.
  • Fluent in French; excellent written and oral communication.

Responsibilities

  • Support partners in achieving operational goals and objectives.
  • Lead strategic group initiative project streams to support corporate vision.
  • Represent and advocate for the partner; liaise with leadership as required.
  • Handle scheduling, travel, calendars, and reports for the team.
  • Organize activities and strategies across multiple time scales.
  • Draft talking points and prepare information for meetings.
  • Anticipate partners' needs and coordinate time effectively.
  • Coordinate with leadership to track progress of projects and revenues.
  • Prepare leadership reports on project status and direction.
  • Provide general administrative support including photocopying, scanning, binding, correspondence.
  • Assist with partner expense reports, resource planning, and time entry.
  • Support proposals, presentations, meeting minutes, and client interactions.
  • Assist with receptionist duties as needed; greet clients.

Your Opportunity

Our Montreal office is looking for an Executive Assistant to join the Advisory team and own the following responsibilities.

Key Accountabilities And Responsibilities
  • Support partners in achieving operational goals and implementing objectives;
  • Assist in leading strategic group initiative project streams to support the development of corporate vision;
  • Act as a representative and ambassador for the accountable partner, facilitating communication and working independently with the firm’s leadership team as required;
  • Support administrative tasks including scheduling & organizing meetings, travel arrangements, managing calendars, preparing reports as required;
  • Organize and prioritize activities and strategies, taking into consideration a wide variety of time scales;
  • Draft talking points on an array of topics as required, and ensure that the partner is prepared and in possession of information and materials required for meetings and other scheduled events;
  • Proactively anticipate the needs of the partners, and ensure accuracy, coordination, and prioritization/optimization of partner’s time;
  • Solicit input from and coordinate with firm leadership to track, monitor, and follow the progress of projects, revenues, action items, and business strategies that emanate from the partner and their team;
  • Prepare reports for leadership regarding project status, revenues and keep leadership informed of project direction;
  • General Administrative duties include but are not limited to: photocopying, scanning, report binding, typing various communication & documentation correspondence, mass mailing;
  • Assist with partner expense reports, resource planning, and time entry;
  • Provide ongoing administrative support to the team including, proposals, presentations, meeting minutes and more;
  • Client interaction to support coordination of payments, information requests and follow-ups;
  • Assist with Reception coverage as required, greeting clients when appropriate; and
  • Perform other duties as assigned.

Education And Professional Skills/Knowledge
  • You have three to five+ years of working experience in an executive assistant role or similar role;
  • You have an Office Administration diploma or other relevant education an asset;
  • Prior working experience at a professional services firm an asset;
  • You have excellent knowledge of Microsoft Office computer programs (Word, Excel, and Outlook);
  • You have the ability to prioritize workload and the flexibility to manage multiple tasks;
  • You are able to work quickly and take on more responsibilities over time;
  • You have the ability to work in a deadline-driven work setting and deal with confidential information;
  • You have strong problem solving, analytical, and communication skills both written and oral;
  • You value teamwork, client service, and quality in detailed work;
  • Fluent in French;
  • You have excellent written and oral communication.
