Under the direction of the Vice President, External & Indigenous Relations, Environment and Communications, the Executive Assistant will provide high-level administrative support to the Business Unit leadership team. Responsibilities include managing correspondence, preparing reports and presentations, coordinating meetings, and supporting digital productivity tools.

This is a term position for approximately 15-18 months.

Responsibilities:

  1. Support the Vice-President with special projects, document preparation, and correspondence.
  2. Manage high-priority and confidential matters efficiently.
  3. Lead proofreading and formatting of documents.
  4. Coordinate administrative resources and workflow for the leadership team.
  5. Prepare for meetings and support leadership activities.
  6. Act as a liaison with stakeholders and manage content in SharePoint Online.
  7. Manage calendars, coordinate resources, and maintain electronic filing systems.
  8. Reconcile VISA transactions and arrange travel as needed.

Qualifications:

  1. Grade 12 plus an administrative diploma/certificate and at least five years of office experience supporting senior staff, or an equivalent combination.
  2. Proactive, resourceful, and resilient with strong collaboration skills.
  3. Proficient in digital tools including Microsoft Office 365, SharePoint Online, and SAP.
  4. Excellent organizational, interpersonal, verbal, and written communication skills.
  5. Ability to handle sensitive information with discretion.
  6. Self-motivated, capable of working independently and in teams.

Salary Range: Starting from $33.06 to $45.72 hourly, or $63,342 to $87,610 annually, commensurate with experience.
