About The Job

Are you a highly organized and proactive professional who thrives in a fast-paced environment? Do you have a knack for juggling multiple projects while providing seamless support to senior leadership? IntouchCX is seeking a skilled and versatile Executive Assistant to be the operational force behind key business initiatives and executive team.

In this dual-faceted role, you\'ll act as a strategic partner, ensuring our executives can focus on what\'s next, while also supporting a variety of cross-functional projects and initiatives.

Responsibilities
  • Calendar & Schedule Management: Proactively manage and optimize the calendars and schedules for two key executives, ensuring their time is used efficiently and anticipating conflicts.
  • Communication & Information Management: Serve as a primary gatekeeper for executives by screening and prioritizing incoming emails and correspondence. You will handle key administrative tasks with a high degree of confidentiality and professionalism, including managing legal documents, preparing reports, and overseeing various systems.
  • Travel Coordination: Independently research, book, and manage all aspects of domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Financial Administration: Accurately track, manage, and submit expense reports for the executives you support.
  • Project Management: Take ownership of various projects ensuring cross-functional teams (HR, Finance, IT) are aligned and on schedule.
  • Business Acumen: Develop a deep understanding of the BPO (Business Process Outsourcing) industry and our internal organizational structure to effectively navigate relationships and drive projects forward.
  • Meeting Facilitation: Own the meeting process from start to finish—from scheduling and preparing agendas to taking detailed notes and ensuring all action items are followed up on promptly.
Qualifications
  • Experience: A few years of experience as an Executive or Administrative Assistant is required, with a preference for a senior-level candidate who has supported multiple executives.
  • Strong Communication Skills: You excel at communicating effectively with coworkers and executives across different time zones and cultures.
  • Excellent Interpersonal Skills: You have a professional yet approachable demeanor and are great at building relationships.
  • Organization & Time Management: You are exceptionally organized and able to manage competing priorities, maintain meticulous records, and adapt to shifting deadlines.
  • Problem-Solving & Proactivity: You\'re comfortable working in a dynamic environment, you accept ambiguity, and you are not afraid to ask probing questions or take initiative to find solutions.
  • Discretion & Professionalism: You are highly professional and capable of handling and keeping confidential information with the utmost integrity.
  • Tech Savvy: You\'re proficient with Google Workspace (Docs, Sheets, Calendar), and are eager to learn about and implement new technologies, including AI and automation tools, to improve workflows. Experience with Smartsheet is a plus.
