Qualifications

  • Minimum of five years providing high-level executive and administrative support preferred.
  • Proficient with Microsoft Office and knowledge of accounting software is a definite asset.
  • Ability to adaptable and work independently with excellent time management.

Job description

MAC LLP is a full-service public accounting firm in Waterloo Region that has been in business for over 35 years. We deliver services to a wide range of clients including owner-managed businesses, not-for-profit organizations, charities, social housing, and individuals, and pride ourselves on our ability to do so in a way that is both professional and personable.

We are growing, and as a result are looking for a high achieving Executive Assistant to join our amazing team! The successful candidate will work with the Partner group in managing the workflow within the firm and ensuring customer centricity in all we do.

Key Responsibilities

  • Assist Partners with respect to daily scheduling activities including : calls, emails, meetings and general client administration
  • Build relationships with clients and help clients with their issues directly
  • Responsible for the administration of monthly client-based work including : engagement letters, document follow-ups etc.
  • Review and prepare corporate and personal tax documents for clients
  • Maintain paperless filing system
  • Special Tax Engagement Support - work with the tax department with respect to any engagements which relate to clients of the Partner
  • Managing special projects and additional support on an ad hoc basis
  • Utilizes standard software skills to produce reports, documents, calendar management and other administrative duties
  • Other duties as assigned

Key Requirements

  • Post-secondary education preferred
  • Minimum of five (5) years providing high-level executive and administrative support or equivalent in project management strongly preferred
  • A proactive thinker and curious learner who stays well-informed regarding upcoming internal and external priorities, relevant trends and the company’s strategic vision
  • Proven ability to be adaptable, take initiative, follow direction and be agile while working independently
  • Must have excellent time management, prioritization and organizational skills, strong attention to detail, ability to work in a fast-paced environment with multiple competing demands
  • Superior interpersonal skills and customer service skills, with the ability to be flexible and work collaboratively with all levels of management and staff
  • Willingness to learn new skills
  • Proficient with Microsoft Word and Excel and working knowledge of CaseWare, Sage, QuickBooks and CCH iFirm a definite asset
  • Use of mature judgement, discretion, tact and diplomacy when dealing with internal and external parties and when handling confidential and sensitive information and situations
