Executive Assistant

In this exciting Executive Assistant role, you will have the opportunity to be exposed to many areas as you provide vacation coverage for a large team of EAs and support various executives in need. This is a 1-year contract to start with a possible extension or permanent opportunity if business and performance align.

Our client, one of Vancouver’s most sought-after companies to work for, with global operations and an impeccable reputation, is seeking an Executive Assistant who is adaptable, driven, and thrives in a fast-paced environment.

What - The Role :

This is a fabulous opportunity for a dynamic EA with proven expertise supporting senior executives.

This role is part of the hybrid workplace program; you will provide vacation coverage for Executive Assistants taking their well-deserved vacations. Our client’s EAs serve as connectors between senior leadership and departmental teams; they are principal schedulers, timekeepers, planners, and coordinators for members of the Executive Team. Key responsibilities include (but are not limited to):

  • Coordinating the Executive’s calendar and contacts, managing email according to scope of authority.
  • Establishing work priorities and assigning tasks to department staff within scope of authority.
  • Scheduling meetings, sending invitations and agendas, booking rooms, and arranging IT resources and refreshments to facilitate efficient meetings.
  • Maintaining confidential information appropriately for the business, team, and leadership.
  • Coordinating last-minute travel arrangements, often requiring adjustments and rescheduling, in collaboration with other Executive Assistants and according to the senior executive’s travel plan.
  • Acting as a communication liaison with the department as needed.
  • Responding to inquiries or directing them to appropriate partners.
  • Delegating and following up on action items within your responsibility.
  • Handling special projects as assigned by the Executive or Operations Manager.

Who - The Candidate :

  • 3-4 years’ experience or equivalent in administrative or executive support roles with increasing responsibilities.
  • Excellent business acumen, sound judgment, and prioritization skills.
  • Ability to maintain utmost confidentiality.
  • Experience working in a fast-paced environment.
  • Experience working with a publicly traded company is preferred.

Compensation :

35 / hr + 4% vacation pay.

Location :

Vancouver, hybrid model (4 days onsite, 1 remote). Flexibility required for additional onsite presence as needed. Work may shift between Vancouver office locations depending on executive needs.
