Job description

We are looking to hire an Executive Assistant to provide administrative support to our Leadership Team. Reporting to the Executive Director, the Executive Assistant will be responsible for providing administrative support by gathering data, assist with preparing documents, minute taking, record keeping and ensuring office procedures are followed.

Duties

  • Preparation of correspondence, reports, presentations, and other documents;
  • Perform basic bookkeeping functions to assist with reporting;
  • Provide comprehensive support services : calendar management, prioritizing inquiries, troubleshooting issues, maintains schedules, booking travel, making and updating appointments, and other activities;
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary
  • Maintain appointment schedules and calendars for the Executive Director, Board of Directors and Committees of the Board.
  • Organize in-person and virtual Board meetings, Committee meetings, and Conference calls.
  • Prepare travel schedules, book travel arrangements, and make reservations for management and Executive Director
  • Record meeting discussions and compile meeting minutes;
  • Maintain, organize & electronically file documents;
  • Perform filtering and sorting of data, and other functions;
  • Other duties as assigned

Qualifications

  • Post Secondary Diploma in Business Administration, or relevant discipline, required.
  • 3-5 years' experience in a senior Administrative role preferred.
  • Strong knowledge of office procedures and practices.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Possess Valid Driver’s License and have ability to travel
  • Proven organizational and time management skills.
  • Current criminal record check will be requested
