Job description

Our client, a leading financial institution in Downtown Toronto, is looking for an Executive Assistant to answer and screen telephone calls, direct messages, and calls to the appropriate person. The successful candidate will have the opportunity to work with one of the Top 5 Banks in Canada.

Typical Day in Role:

  • Compose, review, and screen correspondence; provide information according to the bank’s direction to all levels of the organization.
  • Make domestic and international travel arrangements and schedule appointments as needed.
  • Coordinate meetings (set up conference calls, schedule meeting rooms, arrange reservations/catering, etc.).
  • Manage calendar including scheduling meetings, rooms, and appointments.
  • Track expenses and manage corporate credit cards.
  • Perform other administrative duties including filing, photocopying, faxing, ordering and maintaining office supplies, office relocations, phone, and computer service.

Must-Have Skills:

  • Proven experience as an Executive Assistant.
  • Expertise in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Comfortable working in an agile environment.

Nice-To-Have Skills:

  • Industry experience and business function knowledge.
  • Digital/technological knowledge is preferred.

Soft Skills Required:

  • Excellent verbal and written communication skills, with the ability to communicate effectively at all levels of management.
  • Strong multi-tasking, customer service, and interpersonal skills.
  • Ability to work independently and manage time effectively.
  • Ability to keep information organized and confidential.
