The Position

We seek a highly organized, tech-savvy, and proactive Executive Assistant (EA) to support our executive team. You will provide high-priority support to the CEO, COO, and CMO, managing calendars, coordinating travel, preparing meeting materials, and following up on action items.

This role offers high visibility and impact within the organization. Effective communication is essential — you'll need to flag capacity issues or shifting priorities to keep the team aligned and focused on key objectives.

You are suitable if you have experience as an Assistant, or in roles like project coordination, client-facing work, operations, or office management, especially in fast-paced, high-responsibility environments. You are quick to learn, highly organized, tech-savvy, an excellent communicator, and energized by helping others succeed.

Your Impact

  • Providing trusted support to senior leaders by managing calendars, travel, agendas, and follow-ups
  • Supporting scheduling and coordination for other leadership team members
  • Managing expense reports and reimbursements efficiently
  • Anticipating needs, juggling priorities, and maintaining focus on critical tasks
  • Developing systems, templates, and workflows to streamline executive operations
  • Leading planning for offsites, quarterly reviews, and board meetings to ensure smooth execution

12-18 Month Goals

Initially, you'll build relationships with executives, manage calendars and travel, and streamline operations. Over time, you'll lead planning efforts, improve workflows, and support strategic initiatives to enhance leadership effectiveness.

Candidate Profile

  • 3+ years supporting senior leaders in dynamic environments, with experience in EA, operations, or client service roles

  • Excellent written and verbal communication skills
  • Highly organized, detail-oriented, and proactive
  • Comfortable with tools like Google Workspace, Slack, Zoom, and internal systems; quick to adapt to new tools
  • Experience with task follow-through and preparing agendas and action items
  • Calm, solutions-oriented, and proactive under pressure
  • Interest in AI tools like ChatGPT for enhancing work productivity
