Job description

The Team : The Executive & Operations Support team is dedicated to delivering exceptional customer service to Senior Management Team Members and providing operational support services to employees globally. Our team aligns S&P Global employees with strategic goals, ensuring smooth operations and effective communication across locations.

Responsibilities and Impact : We are seeking a motivated and proactive individual with exceptional problem-solving abilities and customer service skills for our Sr. Specialist, Executive Support role. The key responsibility of this position is to provide assistance to the MI and EDO Leadership Team member (s), both onsite and remotely, as required. Additionally, another primary objective is to facilitate operations for our offices in Canada (Toronto, Vancouver, Calgary), ensuring an outstanding experience for both employees working onsite and those visiting from other locations. This role will also involve providing support for client meetings and various office events.

Key responsibilities include :

Calendar and Travel Management : Organize and manage calendars, arrange travel plans, and handle expense submissions.

Travel Coordination : Arrange travel plans, including air, transportation and accommodation; and submit expenses accordingly.

Communication Handling : Act as a liaison for stakeholders , managing teams / zoom calls, emails, and correspondence, and ensuring timely responses.

Event Planning : Coordinate internal and external events , including meetings , offsites and tea m gatherings.

Office Operations Support : Facilitate office access, welcome visitors, and provide general administrative support.

Meeting Room Management : Coordinate room reservations, catering, and setup for meetings and events, liaising with IT and facilities.

Onboarding and Offboarding : Assist with staff onboarding, transfers, and offboarding, including managing access cards, corporate credit cards, and mobile phone renewals.

Internal Events Coordination : Drive engagement initiatives, organize town halls, and manage logistics for large meetings.

Stakeholder Coordination : Collaborate with Facilities and IT to enhance employee experience.

What We’re Looking For :

Basic Required Qualifications :

Bachelor's degree or 4-5 years of experience as an executive assistant, office management or administrative role .

Proficiency in MS Office, including PowerPoint, MS Teams, Outlook, and Zoom.

Strong multitasking skills and ability to manage ongoing projects.

Initiative-driven, capable of working independently in a dynamic environment.

Effective problem-solving and research abilities.

Teamwork-oriented with excellent anticipation and planning skills.

Strong oral and written communication skills, coupled with organizational and time management capabilities .

Availability to work in the office 2-3 days a week.
