Summary of the Position
We are seeking a highly organized and proactive Executive Assistant to provide a broad range of administrative, organizational, and general workplace support as an Executive Assistant to our President & CEO. The ideal candidate will be detail-oriented, adaptable, and capable of managing multiple priorities while maintaining confidentiality. Roles and Responsibilities
- Own calendar management for the President & CEO and troubleshoot scheduling conflicts with creative solutions.
- Coordinate and manage travel plans for our team, including supporting travel re-scheduling for national and international travel and rescheduling impacted meetings with internal/external parties.
- Process expenses ensuring accuracy and timely completion.
- Assist with managing our Toronto workplace (e.g., scheduling, events, supplies etc)
- Assist in coordinating in person and virtual meetings as well as offsite events; may include location booking, catering orders, agenda development, technology setup, amalgamating/proofreading PowerPoint presentations, printing materials and event day troubleshooting.
- Maintain and post company updates on LinkedIn and other platforms.
- Maintain confidentiality – possible access to leadership emails to assist in prioritizing or performing important administrative tasks on their behalf.
- Apply appropriate due diligence ensuring accuracy in completing ad-hoc administrative tasks (e.g., reports, invoices, communications, tables, charts, files)
- Execute a variety of special projects and administrative assignments while keeping team regularly informed on status and issues
- Provide vacation/temporary coverage for colleagues, supporting additional leaders as required.
- Demonstrate a genuine curiosity about our business and provide support for our Corporate Social Responsibility initiatives
Minimum Requirements
- Post-secondary education with 3 to 5 years of relevant experience and a proven track record performing Executive Assistant tasks.
- Extensive knowledge of Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, Teams etc.) and internet applications
- Experience coordinating travel arrangements and confident managing frequent changes.
- Ability to work independently as well as part of a team with flexibility to coordinate processes and information across related teams.
- Excellent communication skills with the ability to listen actively, ask questions and effectively collaborate with internal and external partners.
- Can perform efficiently in a multi-task environment and ensure deadlines are met
- Strong organizational skills to manage own accountabilities while simultaneously managing leaders’ administrative requirements.
- Strong judgment skills to support initiatives and apply discretion when working with confidential information.
