Job Description: Key Accountabilities

We are seeking an Executive Assistant to support members of the Audit executive team, their reports, and the heads of the Compensation and HR Services Teams. The ideal candidate will be a self-starter, detail-oriented, proactive, and professional. Ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, while remaining positive, flexible, resourceful, and efficient, is essential. Demonstrating professionalism and confidentiality is crucial.

Responsibilities include but are not limited to:

  1. General Administrative duties:
  2. Calendar management and scheduling for senior executives
  3. Travel booking and coordination for senior executives
  4. Event and project management
  5. Advanced presentation and formatting in PowerPoint, including charts, graphs, images, and layout design
  6. Advanced Word document formatting, including track changes and comments
  7. Managing document preparation for meetings
  8. Reviewing, approving, and reconciling vendor invoices
  9. Tracking and submitting expense reports
  10. Managing incoming communications (email, telephone, mail)
  11. Supporting other EA staff during absences or holidays
  12. Supporting onboarding of new employees
  13. Participating in office operational projects as needed

Candidate Profile:

  • Minimum 5 years of administrative assistant experience
  • Ability to handle confidential information appropriately
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
  • Experience with Concur is a plus
  • Highly organized, proactive, and able to anticipate requests
  • Excellent written and verbal communication skills
  • Capable of managing multiple priorities efficiently
  • Ability to work independently
