Executive Assistant (Fully Remote, Part-Time)
Responsibilities
- Calendar Management: Scheduling, buffers, time zones, meeting preps.
- Manage inbox: triage, draft replies, and keep threads moving across employees, partners, vendors, and customers.
- Maintain Notion: structure pages / databases, update SOPs, organize tasks, manage permissions.
- Website support: light CMS updates (copy, posts, links), keep info current.
- Outreach: contact inbound / outbound leads to book intros / demos and log details.
- Billing inquiries: Coordinate with customers on invoice confirmations and reminders.
- Coordinate with external partners / vendors / customers / employees on day-to-day ops; track tasks and deadlines.
- Flexible, as-needed availability (variable weekly hours); responsive during ET business hours.
Qualifications
- New Grad OR 1-2 years as an Executive / Operations Assistant supporting a founder or small team.
- Proven strength with Notion is a must (databases, templates, permissions).
- Comfortable with a website CMS.
- Confident communicator for partner / vendor / customer coordination, lead outreach, and invoice follow-ups.
- Tech-savvy and organized: Google Workspace, Office 365, Slack / Zoom, basic CRM or tracking sheets.
- Proactive, discreet, reliable; excellent written tone and follow-through.
