Position Overview
We are seeking a dynamic and highly organized Executive Assistant to support our CEO and President in a fast-paced and ever-evolving environment. This role is ideal for a proactive individual with exceptional multitasking skills and a strong attention to detail, who thrives in a high-pressure environment and is eager to contribute to the success of our leadership team.
Key Responsibilities
- Administrative Support: Provide comprehensive support to the CEO and President, including managing calendars, scheduling meetings, and handling correspondence.
- Invoicing & Reporting: Oversee invoice processing, expense tracking, and financial documentation to ensure timely and accurate submissions.
- Meeting Management: Prepare agendas, take detailed meeting minutes, and follow up on action items.
- Errands & Logistics: Perform ad hoc errands as needed, requiring a valid full driver’s license and access to a vehicle.
- Coordination: Organize travel arrangements, accommodation, and itineraries for executives.
- Communication: Act as a liaison between executives and internal/external stakeholders, ensuring clear and professional communication.
- Documentation: Maintain organized records and assist in preparing reports, presentations, and other business documents.
- Special Projects: Support various projects and initiatives as assigned by the CEO and President.
Qualifications
- Bachelor’s degree in Business Administration or a related field preferred.
- 2-3 years of experience as an Executive Assistant or similar role.
- Proven experience with invoicing, financial processes, and meeting minutes.
- Strong organizational and time-management skills, with an ability to prioritize effectively.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Full driver’s license and ability to travel locally as needed.
- Adaptability to thrive in a fast-paced, high-pressure environment.
