Our client, located in Toronto, is looking for an Executive Assistant to join the team.

Our client is seeking an experienced and highly organized Executive Assistant & Office Manager to provide direct administrative support to the President and oversee the smooth operation of their office. This dual-role is ideal for a resourceful professional who thrives in a fast-paced environment and enjoys working with a tight-knit team.

  • Manage the President’s calendar, meetings, and travel arrangements with precision.
  • Prepare agendas, briefing notes, and presentations for internal and external meetings.
  • Monitor and prioritize emails and correspondence on behalf of the President.
  • Assist with confidential documents and maintain a high degree of discretion.
  • Coordinate special projects and investor communications as required.
  • Oversee daily office operations, ensuring a professional and welcoming environment.
  • Liaise with building management and vendors for office maintenance and services.
  • Order and maintain office supplies, kitchen inventory, and general office needs.
  • Support onboarding of new team members (desk setup, IT coordination, access cards).
  • Organize team meetings, events, and occasional offsites or investor gatherings.

Minimum of 5+ years of experience as an Executive Assistant or Office Manager, ideally in financial services, investments, or professional services.

Proven ability to support C-level executives with complex scheduling and tasks.

Strong organizational and time management skills with impeccable attention to detail.

Professional demeanor with excellent written and verbal communication skills.

High level of discretion when handling confidential information.

Proficiency in Microsoft Office Suite; familiarity with CRM systems is an asset.
