As Executive Assistant you will report directly to the CFO to provide high-level administrative support ensuring efficient operation of the finance office. This role involves managing schedules coordinating meetings handling confidential information preparing reports and serving as a liaison between the CFO and internal / external stakeholders.

This role will be based in our Toronto Head Office. Additionally this role will be 4 days in office per week with one flexible day available for employees to work from home.

Key Responsibilities :

  • Manage and prioritize the CFOs calendar appointments and travel arrangements.
  • Prepare and edit correspondence reports presentations and other documents.
  • Coordinate meetings including agenda preparation logistics and minutes.
  • Handle confidential financial and business information with discretion.
  • Support strategic initiatives and special projects as directed by the CFO.
  • Liaise with senior executives board members and external partners.
  • Provide ad hoc reception relief.
  • Work closely with the Corporate Services team to ensure process efficiencies and communication are shared.
  • Assisting with planning and organizing internal events (e.g. town halls coffee hours company celebrations).
  • Setting up event spaces coordinating seating equipment and decorations as needed.
  • Providing logistical support during events including managing RSVPs and coordinating with IT on setting up audiovisual equipment (corporate events only.

  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong organizational communication and interpersonal skills.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Bachelors degree or equivalent experience preferred.
