A leading bank in Canada is seeking an Executive Assistant to manage executive calendars, coordinate meetings, and develop communications and materials. The ideal candidate will have excellent communication skills, attention to detail, and at least 4 years of relevant experience in the financial industry. Job Description

  • Manage and maintain executive calendars, coordinate meetings/conferences, and ensure all materials, packages, and catering requirements are provided.
  • Act as the RVP’s delegate for email and phone communications during absences, handle or forward issues, and prioritize actions for the RVP upon their return.
  • Develop communications, meeting/conference materials, forms, documents, presentations, and spreadsheets across multiple channels.
  • Coordinate all requirements, maintain appropriate records for the team, including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence records for the executive team.
  • Organize quarterly town halls, employee recognition celebrations, and other team events.
  • Maintain the global distribution list and distribute group-wide communications.
  • Raise awareness among the team, extend invitations to key business partners, and maintain effective knowledge of all relevant resources and services within the organization.
