What is the Opportunity

As an Executive Assistant, you play a critical role by providing direct support to the senior leadership team within RBC. You will be accountable for managing schedules, departmental events, and executive correspondence to ensure the effectiveness of the executive leadership team. In addition, you will liaise with RBC leadership and business partners on behalf of the leadership team, follow up on action items, maintain calendars, coordinate travel arrangements, organize files, prepare correspondence and presentation materials, and act as a pre-verification officer for department expense reports.

What will you do

  • Provide executive administrative assistance to support the senior executive, maintaining confidentiality and accuracy in a fast-paced, deadline-driven environment.
  • Serve as the primary liaison for the senior executive with internal and external stakeholders.
  • Manage and prioritize the senior executives' correspondence, calendar, and reporting.
  • Coordinate complex travel arrangements and itineraries, ensuring seamless travel and efficient resource use.
  • Support the planning and development of meetings, events, and initiatives such as roundtable sessions.
  • Manage relationships with suppliers, maintain records, handle business expenses, and ensure timely payment of invoices and bills; prepare and approve expenses according to delegated authorities.
  • Organize logistics for conferences and meetings, develop agendas and materials, and handle post-event follow-up.
  • Coordinate onboarding plans for new hires, including equipment and premises arrangements, adhering to policies and procedures.

What do you need to succeed

Must-have:

  • At least 3 years of executive or administrative support experience supporting senior leadership.
  • Exceptional organizational skills, especially in calendar management and scheduling.
  • Strong interpersonal skills to work effectively with various levels of staff, including senior management and executives.
  • Good judgment, decision-making skills, problem-solving abilities, and resourcefulness.
  • Ability to anticipate needs and address questions or issues proactively.
  • Professional attitude with initiative and helpfulness.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook), Internet research, and intranet navigation.

Nice-to-have:

  • Experience in a matrixed corporate environment.
  • Experience in business or commercial banking.
  • Experience creating social media content, e.g., LinkedIn.
