Qualifications

  • Provide direct executive support to the CEO.
  • Help manage the CEO’s workflow, including organizing tasks.
  • Coordinate meetings, travel arrangements, and events.
  • Prepare, proof, and format internal and external communications.
  • Act as a liaison between the CEO and stakeholders.
  • Support office administration and general team operations.
  • Maintain discretion and handle confidential information.
  • Assist in light project coordination across departments.

We are currently seeking an Executive Assistant / Administrative Assistant to support our leadership team and contribute to our continued success.

Key Responsibilities:

  • Provide high-level administrative support to the leadership team.
  • Prepare and edit correspondence, reports, and presentations.
  • Assist in event planning and coordination.
  • Maintain organized filing systems and records.
  • Provide direct executive support to the CEO, including inbox and calendar management, meeting preparation, and day-to-day prioritization.
  • Help manage the CEO’s workflow, including organizing tasks, identifying urgent needs, and anticipating requirements.
  • Coordinate meetings, travel arrangements, presentations, and events on behalf of the CEO and leadership team.
  • Prepare, proof, and format internal and external communications, reports, and documents.
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring timely follow-ups and clarity of communication.
  • Support office administration and general team operations, including scheduling, documentation, and internal coordination.
  • Maintain discretion and handle confidential information with the highest level of professionalism.
  • Assist in light project coordination, supporting deadlines and deliverables across departments as needed.

Qualifications:

  • Proven experience as an executive assistant or in other administrative positions.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • High experience in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality are essential.
  • Experience in marketing or advertising is a plus.
  • An accredited post-secondary degree or diploma (those who excel in this position usually have a background in business, marketing, event marketing, journalism/ writing, psychology, or education)
