Overview

Business Unit: Metlakatla First Nation

Location: Metlakatla, BC - Onsite

Reporting to: Executive Director

POSITION SUMMARY

As the Executive Assistant you will be responsible for supporting the Executive Director in carrying out the administrative functions of the Metlakatla First Nation and with assisting to coordinate the activities of the Metlakatla Governing Council. This position requires a demonstrated high level of organization, confidentiality, professionalism and interpersonal communication skills. This position is open to current Metlakatla First Nation Employees Only.

Responsibilities
  • Take and distribute minutes at meetings of Metlakatla Governing Council and Metlakatla committee meetings
  • Book travel arrangements for Metlakatla Governing Council and staff as required
  • Book Metlakatla Governing Council attendance at various conferences and functions
  • Coordinate venues for Governing Council and Management meetings
  • Reconcile monthly credit card statements
  • Assist with preparation of payroll, including ensuring Finance has completed time sheets for staff
  • Coordinating calendars for Council members, the Executive Director and Metlakatla board rooms
  • Picking up and log mail and faxes received by the Metlakatla First Nation
  • Working with the Executive Director, preparation of the agenda packages for Metlakatla Governing Council
  • Assist with the creation of correspondence to membership and other entities
  • Research and report/briefing note preparation for the Executive Director and other department managers
  • Some travel for meetings will be required
  • Other duties within the scope of the position
What You Bring
  • High School Diploma; degree or diploma in business administration or related field preferred
  • A minimum of two year experience in an administrative role
  • Experience working in a First Nations organization
  • Proficient in Microsoft Office Suite and a high degree of computer literacy
  • Excellent written and verbal communications skills and high attention to detail
  • Ability to travel on occasion as required by the Executive Director for meetings
  • Comfortable working directly with Community Members and Elders in a culturally sensitive manner
  • Strong organizational skills with the ability to manage multiple tasks and deadlines independently or collaboratively

  • Class 5 Driver’s License

  • Salary range: $30.00 – $35.00 per hour
  • Hours of work: 35 hours per week
  • Schedule: Monday to Thursday from 8:30 am-5:00 pm, and Friday from 8:30 am-1:00 pm
