Key Responsibilities
- System & Email Optimization: Conduct comprehensive cleanup and organization of multiple email domains and digital systems to improve workflow and accessibility. Proactively manage and prioritize incoming and outgoing correspondence across four distinct email domains.
- Contact Management: Maintain organize and update contact databases to ensure accuracy and easy retrieval.
- Financial & Data Support: Perform meticulous data entry for a payment equalization system. Assist with the preparation of financial statements including gathering necessary documentation and organizing information. Potential future responsibility: Basic bookkeeping duties including expense tracking and reconciliation.
- Administrative & Personal Assistance: Execute various personal research tasks and purchases (e.g. sourcing an air mattress coordinating personal appointments). Provide general administrative support as needed to ensure the smooth operation of daily tasks.
Qualifications
- Proven experience in an administrative support role preferably as an Executive Assistant or Personal Assistant.
- Exceptional organizational skills with a keen eye for detail.
- Proficiency in managing multiple email accounts and digital file systems.
- Strong data entry skills and comfort with financial information.
- Excellent communication (written and verbal) and interpersonal skills.
- Proactive problem-solver with a strong sense of initiative.
- Ability to maintain confidentiality and exercise discretion.
- Proficiency with standard office software (Microsoft Office Suite, Google Drive, Slack, Trello, Workspace).
- Experience with basic bookkeeping software or principles.
