What We Need

The Executive Assistant to the Executive Vice President (EVP) and Chief Financial Officer (CFO) is responsible for providing a broad range of executive-level administrative support and coordination to ensure the smooth operation of the Office of the CFO and the Finance Department. This role involves extensive communication within and outside the company, interacting with external stakeholders (e.g., BCBSMA Board of Directors, agencies, consultants, peer executives) and internal stakeholders across all levels and locations. The position handles highly sensitive issues often under tight deadlines, requiring a high degree of initiative, integrity, flexibility, and discretion in managing relationships, resolving issues, and coordinating complex schedules.

Key Responsibilities:

  1. Perform a broad range of administrative duties requiring extensive internal and external communication, requiring independent judgment and analytical skills.
  2. Manage the executive's calendar, meetings, travel arrangements, expense reports, and prepare necessary materials.
  3. Apply strategic thinking and business acumen to prioritize calendar requests collaboratively with the CFO and Finance team.
  4. Consult with the executive to gather information, provide updates, and coordinate priorities.
  5. Plan, schedule, and manage divisional and cross-functional meetings, including preparing agendas.
  6. Engage with C-suite executives and their administrative staff.
  7. Manage calendars for some of the CFO's direct reports.
  8. Support other executive and finance team administrative needs as required.
  9. Represent BCBSMA and the CFO to various internal and external stakeholders via phone, email, and in person, building relationships and proactively resolving issues.
  10. Develop and manage high-level presentations and communications using software such as PowerPoint, Word, and Excel.
  11. Prepare meeting materials, including creating presentations, handouts, and related documents.
  12. Handle inquiries and act as a gatekeeper for the CFO, ensuring professionalism and confidentiality.
  13. Establish annual calendars to coordinate meetings with key leaders.
  14. Work in-office three times a week and during full weeks for quarterly Board meetings.

Qualifications:

  1. Highly organized team player capable of managing multiple tasks and stakeholders with high customer service standards in a fast-paced environment.
  2. Advanced proficiency in Microsoft Office applications.
  3. Excellent problem-solving skills and resourcefulness.
  4. Ability to maintain confidentiality of sensitive information.
  5. Strong relationship-building skills with executives.
  6. Excellent oral and written communication skills.
  7. Exceptional organizational and time management skills.
  8. Ability to anticipate needs, pay attention to detail, and work independently.
  9. Prioritize tasks effectively, including handling urgent matters outside regular hours.

Experience and Education:

  1. Minimum of 5 years of executive administrative experience.
  2. Associate's degree or equivalent preferred.

Hourly Range: $42.37 - $51.78

The posted salary range reflects the company's current estimate of pay for this role and may be adjusted. Compensation will be based on relevant factors including experience, skills, and organizational needs. This role is eligible for variable pay.
