We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to a group of Vice Presidents and senior management team members. This role is critical in ensuring the smooth operation of daily executive activities, including calendar management, travel coordination, communication, and project support.

What You’ll Be Doing

Executive Support & Calendar Management

  • Manage complex calendars and schedule meetings across multiple time zones.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Prepare daily briefings, meeting materials, and expense reports.
  • Ensure timely follow-up on priority issues and deadlines.

Communication & Liaison

  • Monitor and manage shared and individual inboxes; draft and respond to communications.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Screen phone calls and visitors; draft and format reports, presentations, and correspondence.

Meeting & Office Coordination

  • Organize executive meetings, prepare agendas, take minutes, and track action items.
  • Coordinate meeting logistics including room setup and catering.
  • Support general office operations and assist with event planning.

Project & Document Management

  • Assist with special projects, research, and data analysis.
  • Maintain and organize important documents, contracts, and legal files.
  • Track contract dates and ensure timely renewals or follow-ups.
  • Handle sensitive and confidential information with discretion.

What You Bring

  • 5+ years administrative experience
  • Proven experience as an Executive Assistant or similar role supporting senior executives.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Ability to handle confidential information with integrity and professionalism.
  • Detail-oriented with a proactive and adaptable approach.
  • Valid G driver’s licence with a clean driving abstract.
  • Bilingual (French/English) an asset.
