Job description

Tiičma Management Services is looking for a full time Executive Assistant to the CEO. In this key role, the Executive Assistant will provide high-level administrative and operational support which includes managing CEO schedule, coordinating communications, and handling confidential information.

Schedule: Monday to Friday, some weekends, evenings and travel.

Hours: 8:30am to 4:30pm

Location: 1250C Ironwood Street, Campbell River

Salary Range: $50,000 to $65,000 a year

Benefits: extended health care, dental care, flexible schedule, paid time off and pension.

Tiičma Management Services is a Ka:’yu:’k’t’h’/Che:k:tles7et’h’ First Nations management company with its head office based in Campbell River, which aims to provide quality, value added service for all Tiičma Enterprises. Tiičma

Management Services provides the other businesses with support.

You will be a key member of a team and work directly with the CEO to provide administrative support and help streamline day-to-day operations for the CEO.

What you will be doing

  • Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Maintain and refine internal processes, and coordinate internal and external resources to expedite

workflows

  • Manage communication with employees by liaising with internal and external executives on various

projects and tasks

Qualifications and Skills

Responsibilities

  • Manage scheduling for CEO, including agendas, mail, email, phone calls, client management, and other

company logistics

  • Coordinate scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage CEO’s travel logistics and activities, including accommodation,transportation, and meals
  • Maintain professionalism and strict confidentiality with all materials
  • Organize team communications and plan events, both internal and off-site
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

Skills

  • Experience with minute taking and making agendas
  • Good communication written and verbal
  • Valid driver’s license and clean driving abstract
  • Experience with working with senior managers
  • Working in a fast paced environment
