Job Purpose and Overview

The Executive Assistant for Canada provides high-level administrative and operational support to the Vice President and the Canada region.

Work Environment & Schedule: This is an onsite role at the Brampton, ON facility, 3 days a week, Monday, Wednesday, and Friday from 8 am – 4:30 pm.

What will you do as an Executive Assistantat Dawn Foods?

  • Arrange and oversee all business travel and accommodations for the VP and other Canadian Management Team as required.
  • Meet and greet all visitors and provide assistance as required
  • Coordinate and execute meetings for Canada, including agenda preparation, logistics management, and follow-ups.
  • Support any customer visits, including coordinating lunches, samples, and supplies.
  • Maintain office supply inventory and handle procurement as necessary.
  • Manage incoming and outgoing mail, and oversee all courier services
  • Support new hires and team members with the procurement of cell phones/ laptops/security badges
  • Prepare presentations, agendas, and meeting materials, and other admin support for the Canada Management Team
  • Handle sensitive and confidential matters, including organizational changes and strategic initiatives, with absolute discretion and professionalism.
  • Process and manage invoices, including Marketing-related suppliers, expense reports, and corporate card issues.
  • Monitor and manage budgets for meetings and events where applicable.
  • Monitor and liaise with Fleet Management and the Cell Phone for Canada Team members
  • Screen and direct incoming calls with diplomacy and tact, ensuring high-level support for executives.
  • Support the Canada Marketing team with trade shows, media assistance, sample ordering, and the Dawn Corporate giving program
  • Liaison with grant recipients, such as colleges and food banks
  • Support as needed in generating reports for the commercial, finance, and supply chain teams.
  • Provide backup support and assist with other projects and initiatives as assigned.
  • Will be part of the Health and Safety Team for the Toronto location

What Does It Take to be an Executive Assistantat Dawn Foods?

Below are the minimum qualifications to be a fit for this job.

  • A High School Diploma or GED is required
  • A Minimum of 3 years of experience in an administrative role
  • Detail-oriented and has the ability to work independently and complete objectives.
  • Exceptional organizational skills with the ability to manage multiple priorities and complex tasks in a fast-paced environment
  • Strong verbal and written communication skills, with the ability to create professional and visually appealing presentations and documents.
  • Maintain confidentiality
  • Proficient in Microsoft Office, including Excel, Word, PowerPoint, Outlook, and Teams.
  • Familiarity with other productivity and reporting tools is a plus.
  • SAP experience preferred but not required.

Compensation
$50,123 - $75,180 with bonus eligibility
