TheExecutive Assistantprovides high-level administrative support to the Regional Vice President, ensuring the smooth and efficient operation of daily activities. This role requires a proactive individual who consistently looks for ways to add value and enhance service delivery, while meeting established deadlines and commitments. The Executive Assistant must have a clear understanding of the Regional Vice President’s priorities to manage tasks effectively and support departmental goals, while maintaining a strong working knowledge of related processes and operations.

Position Responsibilities
Here’s what your day-to-day looks like:

  • Provide accurate and efficient word processing support by drafting, formatting, and editing a range of documents, including confidential correspondence, memoranda, contracts, and proposals.
  • Support the monitoring of departmental budgets and objectives.
  • Keep the Regional Vice President informed on current engagements and any changes to the schedule.
  • Perform general administrative tasks including data entry, filing, and database management.
  • Manage and reconcile monthly credit card expense statements for final approval.
  • Coordinate logistics for key events and meetings, including scheduling, travel arrangements, presentations, and follow-up on action items.
  • Assist with incoming charity and donation requests.
  • Answer and screen incoming phone calls, taking messages and transcribing voicemails as appropriate.
  • Monitor the Regional Vice President’s email inbox and calendar, managing meeting requests, tracking action items, and proactively addressing or redirecting inquiries.
  • Organize and coordinate special projects, internal events, and catering services as required.
  • Act as a liaison with internal staff across departments and with external stakeholders, responding to general inquiries and providing information as needed.

Job Requirements
Our ideal candidate has the following:

  • Bachelor’s degree, diploma, or equivalent experience in a related role.
  • Proven ability to maintain confidentiality and handle sensitive information with integrity.
  • Exceptional attention to detail and strong organizational skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Professional, positive, and approachable demeanor.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills with the ability to build and maintain relationships at all levels.
  • Ability to work independently, manage pressure, and meet tight deadlines.
  • Strong decision-making, problem-solving, and prioritization skills.
  • Resourceful and capable of conducting research to support tasks and projects.
