As an Executive Assistant in our Canada Asset Management business, you will need to work well in a team environment, represent the manager/group with professionalism and courtesy, and deliver flawless work output. Your daily routine includes interaction with various executive-level internal clients across the lines of business. You will need to adapt procedures, processes, and techniques to complete assignments aligned with the department's activities and goals.

Job responsibilities

  • Maintain complex and detailed calendars
  • Screen incoming calls and determine priority, using caution in sharing information
  • Coordinate internal and external meetings, including logistics
  • Arrange and coordinate domestic and international travel
  • Organize internal and external events, including catering and transportation
  • Process invoices and T&E expense claims, ensuring compliance with policies and guidelines
  • Assist with staff onboarding and offboarding, including equipment setup and system access
  • Produce high-quality emails and messages for all organizational levels
  • Maintain department documents, such as organizational charts and executive bios
  • Handle routine activities proactively and communicate issues or delays in advance
  • Assist in editing spreadsheets and presentations for client meetings, including printing and binding

Required qualifications, capabilities, and skills

  • At least five years of administrative experience
  • Strong organizational skills with the ability to connect dots and escalate issues as needed
  • Discretion and good judgment in confidential situations; experience interacting with senior management
  • Excellent interpersonal, written, and oral communication skills
  • Proficiency in Microsoft Office
  • Exceptional communication skills and ability to manage competing priorities, including calendar management

Preferred qualifications, capabilities, and skills

  • Experience supporting a Managing Director or equivalent level
  • College degree is a plus
