JOB SUMMARY
Reporting to the Associate Director, Education and Programs, the Events Manager, Education and Programs will play a pivotal role in driving RGCs strategic priorities forward through the planning and delivery of:
- annual cross-sectoral conferences, symposiums, and webinars,
- public-facing events like education workshops and activations, and
- other events that support RGCs work provincially, and globally
As an accomplished events manager, you thrive on orchestrating seamless events from concept to execution. Your expertise lies in balancing multiple timelines, budgets, and stakeholders while ensuring each event aligns precisely with strategic objectives. You have a keen eye for detail, excel at mitigating risks, and consistently deliver results in dynamic, fast-paced environments. Your leadership ensures that every event not only meets but exceeds expectations, advancing RGC’s mission to promote responsible gambling and effect meaningful industry change.
KEY RESPONSIBILITIES
Event Planning, Development, Management and Delivery 75% Planning- Reporting to project lead, set goals, objectives and KPI’s for events.
- Working as part of a cross-functional team to develop project plans including timelines, key milestones and contingency plans.
- Recommend innovative event designs tailored to the event audience, seeking approvals and leading its creation.
- Organize and lead cross-functional team developing agenda, status documents, workback schedules, note taking, etc.
- Contribute to communication strategies (web, platform, email, invitations, etc.).
- Guide theme development, agenda creation and program flow.
- Develop and manage budgets ensuring all milestones are met, track expenditures throughout and manage final project budget reconciliation.
Venue Selection and Management- Identify, recommend and secure off-site venues and/or online options to align with event objectives.
- Negotiate contract(s) for reviews/approvals.
- Manage all related logistics and planning.
- Act as primary liaison with venue contacts, handling communications and coordination from contract negotiation through on-site execution.
- Plan and manage all event logistics including food and beverage, registration, audio visual, room setup/formats and vendor oversight.
- Work with vendors to align on production needs and negotiate contract(s), as needed.
Event Management- Collaborate closely with internal stakeholders including the executive team, marketing, research, evaluation, and accreditation as well as with external partners including educators, community groups, agencies, contractors, and others.
- Work with speakers, outside suppliers and agencies to secure talent, as needed.
- Develop the event show flow with insights from stakeholders representing audio visual, marketing, prevention programs and others.
- Manage onsite/online registration experience for attendees, speakers, sponsors and guests.
- Create post-event reports and lead evaluation of event performance.
- Keep abreast of best practice, sharing innovative ideas to enhance RGC’s offerings
Tradeshow/External Events- Work with internal departments to support sponsorship and attendance at industry conferences, trade shows, etc.
- Assist with or prepare materials for external conferences including exhibit booth displays, coordinating travel and accommodations, engaging with attendees, gathering feedback to inform future programs.
Administration 25%- Represent RGC at public and private meetings, making connections with organizations and their leaderships, bringing back relevant insights for consideration.
- Actively look for opportunities to expand and improve RGC events locally, provincially and globally.
- Manage current relationships and develop new relationships with stakeholders that support the events portfolio.
- Assist in the development of yearly work plans to align with RGC’s and departmental priorities and goals.
- Summary reporting on past events while recommending strategic improvements and direction.
QUALIFICATIONS- Bachelor’s degree or diploma in a related field (event management, event planning, etc.)
- Minimum of 5 years’ experience in event production, management, or delivery, or an equivalent combination of education and relevant experience.
- Experience in health promotion or educational event settings is considered an asset.
- Exceptional project management skills with proven ability to plan, develop, and execute multiple events on time and within budget.
- Demonstrated ability to independently manage events of varying scale and complexity.
- Strong collaboration skills for working effectively with cross-functional teams, both internally and with external partners, and adaptability to dynamic environment.
- Excellent judgment and critical thinking, with the ability to evaluate events as they unfold and proactively resolve challenges.
- Embody RGC’s standards and professionalism in all aspects of event planning and execution.

- Proficiency with computers and key software applications (Word, Excel, PowerPoint, Teams, SharePoint).
- Excellent interpersonal abilities, multi-tasking, prioritization, problem-solving and both verbal and presentation communication skills.
- Self-motivated with the initiative and confidence to take ownership and lead projects as needed.
- Demonstrated ability to perform effectively under pressure, consistently meeting deadlines while adapting to shifting priorities as required.
- Assist with the physical aspects of event setup and teardown, including the handling and lifting of materials, displays weighing up to 45 lbs with assistance.
- Ability to travel, including occasional overnight stays.
- Valid Class G Driver’s License.
- Ability to speak French is an asset.
Annual salary range for this position is $65,000 - $82,000, commensurate with skills and experience, plus comprehensive benefits including virtual health care, personal and health care spending accounts and Group RRSP, and flexible work environment.
RGC operates in a hybrid work environment. The successful candidate will be expected to work in the Toronto office when needed.
