Are you our new Events Coordinator, Community Programming?

We have an exciting career opportunity for a motivated and aspiring Events Coordinator. In this role, you will join our Community Programming Team and can contribute and learn in a highly rewarding, fast-paced, and collaborative environment. You’ll have a chance to showcase your creative planning and interpersonal skills as you work with a team to create events and experiences for the firm’s colleagues and communities. This is a unique opportunity to collaborate with stakeholders from across the organization, tap into your knowledge, passion and experience and contribute in a meaningful way to our purpose of helping our clients, colleagues and communities thrive.

As an Events Coordinator, Community Programming your responsibilities will include:

  1. Work collaboratively with the Senior Consultant, Community Programs to assist with coordination of logistics and assist in the organization, preparation and execution of various community programs, events, and training (both virtual and in-person).
  2. Manage the invitation emails and registration of attendees, as well as on-going communication regarding event details for internal colleagues.
  3. Maintain relevant details within the established project plans, work-back schedules, and responsibility tracker for event-related activities.
  4. Organize and attend planning meetings, helping to keep track of key deliverables and outputs as assigned to members of the team.
  5. Develop materials such as best practices and event guides to support meeting hosts, facilitators, presenters, and guest speakers.
  6. Help support sourcing of venues for offsite training and events.
  7. Work with venue contacts to finalize event orders which will include food & beverage, room set up, audio visual and other related elements.
  8. Help support/maintain event and project budget, on a consistent basis.
  9. Work closely with communications, marketing and other key groups that will help support overall brand and collateral required.
  10. Walk in other’s shoes and visualize the experience from the attendee’s perspective.
  11. Provide creative and innovative suggestions which will help improve, elevate, and add value to events.
  12. Be proactive and help support the broader team with all the related deliverables.
  13. Oversee the shipment of event materials and maintain inventory of what’s available, what’s required and order items as needed for the team.

Doane Grant Thornton Foundation:

  1. Help support firm-wide activations of foundation-related activities, in support of National Partnerships or beyond.
  2. Support the continued roll-out of community focused programs.

Think you’ve got what it takes to be an Events Coordinator, Community Programming? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:

  1. 1-3 years prior experience with in-person and virtual event coordination, at every phase of the event life cycle.
  2. Knowledge of or experience with different virtual event platforms, Microsoft Teams in-depth knowledge an asset.
  3. Intermediate to advanced computer skills – MS Teams, Outlook, Word, Excel and PowerPoint.
  4. Technologically savvy and able to easily learn and master new platforms and productivity tools.
  5. Excellent communication and interpersonal skills to support positive relationships at all role levels and functions within the organization.
  6. Outstanding organizational and time management.
  7. Exceptional attention to detail and proven ability to prioritize with an eye to consistently producing high-quality work and meeting deadlines in a fast-paced environment.
  8. Self-starter with creative problem-solving skills and a proven ability to be resourceful and proactive to obtain information needed to complete tasks.
  9. Ability to work both independently with minimal supervision and as part of a team…willingness to roll up your sleeves whenever the need arises!
  10. Seeking challenging work with people who will value your sense of humour, positive/collaborative approach, and friendly demeanour.
