Your opportunity

The Institute for Management and Innovation, together with its unique programs, hosts a diverse range of events and programming, including large recruitment events, industry networking events, case competitions, keynote lecture series, conferences, campus events, workshops, and banquets. We are looking for a highly organized, enthusiastic individual that will support IMI in the execution of high-level, professional events aligned with our mission, vision, and values.

Reporting to the Manager, External Partnerships and Communications, the Event Coordinator will undertake the coordination and execution of a wide range of events related to the Institute’s programming. The Coordinator will be responsible for the full-scale end-to-end process of event management, including logistics, floor plans, bookings, marketing and promotion support, assisting with print and digital promotion, catering, and providing on-site event management. The Coordinator will also assist with day-to-day event and department administrative support, including catering, materials coordination and space bookings.

Your responsibilities will include
  • Analyzing client needs and making recommendations on event logistics and options
  • Determining logistical details and activities for events and/or programming
  • Liaising with internal and external service providers, vendors and external guests
  • Disseminating event-related information
  • Maintaining information on digital platforms, editing for tone and style
  • Coordinating meeting schedules, agendas, materials, action and follow‑up items and cost estimates
  • Directing the activities of casual staff
Essential Qualifications
  • Bachelor’s Degree or acceptable combination of equivalent experience.
  • Minimum three years of job-related experience in planning, coordinating and executing small to large-scale events and programming.
  • Demonstrated experience in planning, coordinating and executing small to large-scale professional events, including logistics, floorplans, agendas, engaging with stakeholders and coordinating menus for diverse groups.
  • Demonstrated experience providing front-line customer service to a variety of stakeholders (e.g., faculty, staff, students, external clients, vendors, etc.).
  • Knowledge, experience, and ability to disseminate information on events, conferences and programming.
  • Excellent interpersonal, customer service, and communication skills with the ability to interact with people in a tactful, polite, professional and diplomatic way.
  • Must have strong computer skills; experience in Word, Excel, PowerPoint and other related software.
  • Strong organizational skills and ability to handle multiple tasks, meet deadlines, and excel in a fast-paced environment characterized by changing priorities.
  • Demonstrated superior interpersonal skills and the ability to work collaboratively, build consensus, maintain confidentiality, exhibit sensitivity to the needs and interests of a variety of stakeholders.
  • Demonstrated ability to thrive in and contribute to an integrated and collaborative team environment and to apply a positive team approach to working with colleagues.
  • Demonstrated superior logistical planning, time management, and problem solving skills.
  • Applicants are also expected to show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.
