Job Summary

The Events & Community Coordinator is a sales professional passionate about selling sports and event experiences with a competitive advantage. This role involves inside and outside work at the Sports Complex, focusing on Game Deck, Birthday Party sales, and event bookings. Responsibilities include managing facility surface flow, Birthday Parties, and event spaces such as the Canlan Room, Game Deck sport simulators, and Family Entertainment Centre.

This position supports the entire sales and community outreach process, from promoting the facility’s offerings to maintaining ongoing communication with customers throughout their engagement cycle.

Accountabilities
  1. Business Goals, Planning, and Work Management
    • Develop and support sales & revenue initiatives, adhering to Canlan’s mission, policies, procedures, and corporate priorities.
    • Manage and maintain operational systems related to surface flow and event spaces.
    • Develop clientele for Birthday Parties, Corporate Events, and other rentals.
    • Promote programming for the Canlan Room, Game Deck, and Family Entertainment Centre.
    • Coordinate with vendors and staff to ensure equipment functionality and proper maintenance.
    • Attend trade shows and promote event services.
    • Manage events from planning to execution, acting as the primary contact.
    • Develop relationships with local schools and organizations.
    • Handle contracts and payments efficiently.
    • Assist in sales strategy development and market discovery.
    • Participate in regular reviews and assume duties of the Sales Coordinator when needed.
  2. Team Development and Customer Relations
    • Ensure exceptional customer experiences and satisfaction.
    • Maintain ongoing customer relationships for revenue maximization.
    • Coordinate in-house tournaments and third-party events.
  3. Decision Making and Results
    • Assist in managing contracts, accounts receivable, and reporting.
    • Support departmental goals and cross-department collaboration.
  4. Operational Responsibilities & Safety
    • Follow risk management policies and enforce health and safety standards.
    • Train staff on emergency procedures and safety equipment.
    • Maintain cleanliness and safety of facilities.
    • Ensure compliance with energy and environmental policies.
Abilities, Attributes, and Experience
  • Post-secondary diploma or degree in business, marketing, or recreation (asset).
  • 1-2 years’ experience in sports/recreational environment (asset).
  • Proven sales experience, especially in closing deals.
  • Excellent customer service, organizational, communication, and follow-up skills.
  • Proficiency in MS Office, database management, and social media.
  • Ability to work independently, in teams, and flexible hours including weekends.
