Position Overview
Event Education Specialist supports in planning, coordination, execution, and management of Symposium Events and for education taking place at trade events. This includes support to financial data, programming, registration management, logistics coordination, and post-event feedback. Acting as the key liaison between the Education Programming Department, the Events Department, and other stakeholders, this role ensures the optimal support for the execution of Symposium and trade events.
Major Responsibilities
Financial Planning & Strategy
- Partner with the Event Marketing Director to develop comprehensive Profit & Loss (P&L) projections, pricing models, break-even analyses, and revenue forecasts for leadership review.
- Conduct market and industry trend analysis to optimize event offerings, enhance market positioning, and increase competitiveness.
Symposium Registration & Website Integration
- Manage and optimize registration workflows using Cvent to ensure a smooth and engaging user experience.
- Collaborate with IT, Finance, and Marketing to implement secure payment processing, ensure compliance with data security standards, and maintain accurate data systems.
- Oversee end-to-end registration management—including order creation, payment application, and issue resolution.
Program Development & Event Logistics
- Design high-impact workshop and course schedules that drive engagement, learning outcomes, and profitability.
- Work with the Education Programming team to recruit, confirm, and support presenters and assistants for Symposiums and other key events.
- Prepare and distribute session schedules, workshop materials, and training guides as needed.
- Ensure all logistical elements—including audiovisual requirements, workshop materials, translations—are executed flawlessly.
- Coordinate the production and distribution of name tags and materials for attendees and staff.
- Travel as needed to support onsite setup and event operations.
Attendee & Stakeholder Engagement
- Serve as the primary contact for attendees, providing timely support and personalized guidance to ensure a top-tier experience.
- Deliver biweekly progress reports to stakeholders, featuring key metrics and visual dashboards; provide updates in weekly team meetings.
Post-Event Analysis & Reporting
- Partner with Finance to finalize invoicing, financial reconciliation, and profit-sharing in accordance with contract terms.
- Analyze event performance and attendee feedback to develop actionable recommendations for continuous improvement and innovation.
Skills And Qualifications
- 3-5 years of experience in event coordination
- Proficient in Cvent
- University or College Degree in Business Administration, Event Planning, or a related field.
- Working experience in Excel, PowerPoint, Word, and database management.
- Ability to travel internationally 3-4 times per year for event execution.
- Strong analytical and problem-solving skills, with the ability to manage multiple tasks and deadlines.
- Additional languages spoken/written are an asset.
