Position Summary

The Event Coordinator will act as a liaison between the venue, its staff, contractors, and clients to ensure all details required for the successful preparation, execution, and reporting for Meeting Room, Banquet, Conference space rentals are managed in compliance with the terms of the contract, guidelines, and policies. Additionally, the Event Coordinator will assist the Director of Events with contract deliverables, execution, and event settlement as required. The Event Coordinator is accountable for providing a safe and enjoyable environment for clients, guests, and staff. The role requires availability in evenings, weekends, and statutory holidays based on the scheduled event calendar.

This role pays an hourly rate of $22.00-$24.00 CAD.

This position will remain open until September 5, 2025.

About the Venue

The Temple Gardens Centre in Moose Jaw is southern Saskatchewan’s premier venue, encompassing 210,000 square feet of versatile space dedicated to community recreation and entertainment. It features a 4500-seat arena, an 8-sheet curling rink with a two-tier lounge overlooking the ice, and meeting and conference spaces.

Responsibilities
  • Provide excellent customer service through teamwork and dedication to OVG’s principles, assisting both internal and external clients
  • Respond to all customer inquiries within 24 hours
  • Address customer complaints and critical feedback appropriately
  • Coordinate preparation, execution, and settlement reporting for Meeting Room, Banquet, Conference space rentals for groups up to 75 people
  • Collaborate with the Director of Events for rentals exceeding 75 people
  • Work with internal departments to provide information and requirements for all events and bookings in a timely manner
  • Assist the Director of Events with staff briefings and event information
  • Coordinate with in-house departments to ensure consistency, accuracy, and financial opportunities during event setup, duration, and teardown
  • Manage communication with clients regarding facility use, bookings, deposits, insurance, and licensing agreements
  • Maintain and update event files in both digital and hard copy formats
  • Support live event planning and execution as needed
  • Establish and maintain effective relationships with clients, staff, contractors, and guests
  • Communicate weekly building schedules to all staff
  • Promote a positive perception of the venue within the community and professional organizations
  • Perform other duties as assigned
Qualifications
  • Experience in a convention center, sports facility, performing arts center, or similar multi-purpose venue
  • Self-motivated with excellent interpersonal and communication skills
  • Ability to work in a fast-paced, high-pressure environment
  • Ability to work independently and as part of a team
  • Strong verbal and written English communication skills
  • Detail-oriented with effective time management skills
  • Flexible schedule, including evenings, weekends, and holidays
  • Proficiency in Microsoft Office applications; experience with AutoCAD, Cvent, and Venue Ops is an asset
  • Valid driver’s license or ability to obtain one
  • Commitment to safety, cleanliness, and customer service
  • Willingness to obtain required training and certifications, including First Aid and Serve it Right
