Position Description

Reporting to the Director and guided by the Supervisor, Sales and Events, the Event Coordinator manages day-of-event logistics to ensure successful execution. The role involves working with clients and internal teams to meet all logistical needs on event day. The ideal candidate is responsible, client-focused, self-motivated, detail-oriented, and adaptable. This is a casual role, with hours based on event schedules and business needs.

Responsibilities

  • Coordinate with internal teams and external clients, acting as the primary contact during events to ensure requirements are met.
  • Follow Science World's Facility Rentals policies, ensuring vendors comply with guidelines.
  • Deliver excellent customer service to ensure client satisfaction and event success.
  • Coordinate deliveries, setup, and teardown with vendors.
  • Work with the Director and Supervisor to prepare the facility for events.
  • Lead as the Event In-Charge on event days.
  • Assist Event Facilitators with setup and cleanup, restoring the space for next-day use.
  • Provide basic A/V support as per client agreements, including setup and operation of in-house equipment.
  • Ensure safety and security of all during events, responding appropriately to emergencies.
  • Follow shutdown procedures for exhibits and galleries post-event.
  • Complete post-event reports documenting attendance, issues, damages, and other relevant details.
  • Maintain organized storage and report repairs or replacements needed.
  • Respond promptly to emails, manage shift availability, and complete timesheets accurately.
  • Operate in line with Science World's culture, values, and philosophy.
  • Perform other duties as needed to meet evolving business requirements.

Qualifications

  • High School Diploma or equivalent
  • Experience in event coordination or hospitality preferred
  • Excellent customer service and communication skills
  • Occupational First Aid Level 1 and Serving It Right certifications or ability to obtain
  • Basic A/V knowledge; willingness to learn and operate in-house equipment
  • Professional appearance and demeanor
  • Calm and effective response to emergencies
  • Flexible, adaptable, and problem-solving skills
  • Proficiency with Microsoft Office
  • Availability for flexible hours, including evenings, weekends, holidays, and early mornings
  • Ability to lift heavy items
  • Reliable transportation to attend work during off-hours

This position is unionized, represented by CUPE 1004, with a rate of $23.97/hour. After probation, eligibility for RRSP/TFSA plans and paid time off is provided.
