Job summary

Landscape Ontario is seeking an Event and Registration Coordinator in Milton, ON for a full-time hybrid role. You will lead events, coordinate venues and speakers, and manage registrations for Workforce Development programs across Ontario.

Travel and evening/weekend work are required to support conferences and training events. You will coordinate SDF workshops, recruit employers, and ensure all funding documents are accurate.

Qualifications

  • 5+ years of experience in event coordination, preferably in a nonprofit or educational setting.
  • Excellent organizational and time management skills with ability to manage multiple tasks and deadlines.
  • Strong communication and interpersonal skills, with ability to build relationships with employers and industry partners.

  • Coordinate planning for GROW program activities and hiring events during the funding cycle.
  • Maintain accurate records and documentation related to program needs and activities.

Job description

Workforce Development Full Time Milton, ON Hybrid $55,000 - $65,000 CAD per year

As the Event and Registration Coordinator, you will bring excellent organizational skills, attention to detail, and a passion for event planning and coordination. You will thrive in a dynamic environment, where you will take the lead on event logistics, venue coordination, and speaker arrangements for the Workforce Development Department. Your ability to multitask, communicate effectively, and build strong relationships with venues, speakers, and employers will be essential to your success in this role.

What You’ll Be Doing

As the Event and Registration Coordinator, you will be responsible for leading events and providing administration for a variety of WFD Development events. You will coordinate the planning of Skills Development Fund (SDF) funding-related activities such as workshops, training events, employer sessions, and industry activities by managing logistics, venues, registrations, materials, instructors, and event operations. You will support the recruitment of employers into the Employer of Choice program, the registration of On-the-Job training participants, ensuring all internal and Skills Development Fund (SDF) funding-related documents are complete and accurate. You will produce reports and perform administrative responsibilities towards any employer initiatives.

What You’ll Be Responsible For
  • Event Coordination:
  • Lead event coordination for the SDF Program events, including securing venues, arranging speakers, and planning event setups.
  • Support with the LevelUp! Trades Fairs & assist with recruiting member volunteers and oversee staff schedule.
  • Coordinate event booths, arrange orders with vendors, etc.
  • Assist with event planning and participant registration for On-the-Job training events, Employers of Choice program, and Landscape Ontario Hiring Party,
  • Coordinate planning GROW program-related activities as well as hiring events throughout funding cycle to support GROW New Worker cohorts
  • Program Registration and Documentation Support:
  • Support the recruitment responsibility of employer services and registration of employers into the Employer of Choice portion of the GROW program.
  • Ensure all internal and SDF funding-related documents are complete and accurate.
  • Maintain accurate records and documentation related to program needs and activities.
  • Communication and Collaboration:
  • Communicate effectively with internal team members, employers, and industry partners.
  • Collaborate with the GROW team to ensure the successful execution of employer-related initiatives.
Requirements
  • 5+ years of experience in event coordination, preferably in a nonprofit or educational setting.
  • Excellent organizational and time management skills, with the ability to manage multiple tasks and deadlines effectively.
  • Strong communication and interpersonal skills, with the ability to build and maintain relationships with employers and industry partners.
  • Detail-oriented, with a focus on accuracy and attention to detail.
  • Proficiency in MS Office and database management.
  • Knowledge of the Landscape and Horticulture industry is an asset.
  • Valid driver's licence and access to a vehicle.
  • Ability to work collaboratively in a team environment.
  • Ability and willingness to travel to program and event locations across Ontario, and to work occasional evenings and weekends as required to attend and support events.
  • Demonstrates excellent oral and written communication skills to interact effectively with applicants, program participants, and staff.
  • Demonstrated resourcefulness and problem-solving skills.
  • Detail oriented and demonstrated a strong work ethic.
  • Ability to think creatively and take initiative.
  • An understanding of the landscape horticulture trades is preferred.
  • Experience in organizing and hosting virtual meetings and events.
  • Strong interpersonal skills and commitment to a high level of customer service.
  • Ability to prioritize and follow through effectively.
  • Technical savvy with software tools.
  • Demonstrated coaching skills.
  • Proficiency in Google Workspace.
About this Position
  • Reports to: Manager of Workforce Development.

  • Work Environment: Hybrid model with flexibility; based out of our office in Milton, ON.

  • Travel and occasional evening and weekend work will be required to attend and support Landscape Ontario Congress, LevelUp! Bootcamps, On-the-Job training events, and other Workforce Development events.
Salary and Benefits
  • Salary: $55,000 - $65,000 annually
