Reporting to the Document Manager, and working as part of the Information Management team, the Document Control Coordinator is responsible for managing the workload of a team of document management specialists, working on multiple projects to deliver high volumes of document and data deliverables to our client. The successful candidate will be responsible for assigning tasks to a team of document controllers and project administrators, using Microsoft Planner. This key role is responsible for coordinating team efforts to ensure delivery in line with schedule requirements. This position requires experience in team coordination activities, ideally in an engineering environment. The successful candidate must have excellent time management and coordination skills, must be resourceful and confident. This position would suit an experienced document management candidate looking for a new challenge.
Responsibilities
• Responsible for the management of Microsoft Planner, creating and assigning tasks.
• Assign the workload of a large, geographically dispersed document management team.
• Ensure all team members are continuously utilized and disperse work to avoid overload.
• Work closely with the document control and project administration leads to understand schedule priorities and availability of staff to deliver.
• Work with the document manager to identify any software or system deficiencies or requirements.
Experience
• Experience working on large complex projects, ideally in engineering and construction, design/build.
• 5+ years of document management experience including demonstrated leadership or supervisory experience.
• Experience with Electronic Document Management Systems.
• Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
Skills
