Job summary

Musqueam seeks an Environmental Stewardship Administrative Coordinator to support the team responsible for environmental stewardship within Musqueam's Traditional Territory. This is a 6-month term position focusing on admin tasks and project support.

You will plan and implement projects, prepare reports, coordinate meetings, manage calendars and finances, arrange travel, maintain files, and liaise with internal and external contacts while upholding confidentiality and policy adherence.

Qualifications

  • Post-secondary degree in administration or related field.
  • Experience in environmental or First Nations contexts preferred.
  • Strong written and oral communication.
  • Ability to manage multiple priorities under deadlines.
  • Commitment to confidentiality and respectful engagement.

Responsibilities

  • Lead and coordinate administrative plans and projects (workplans, strategies, sustainability projects, etc.).
  • Lead departmental communication strategies through management of the team's admin email, creation of newsletter content, and posting on social media.
  • Leads or participates in meetings related to large projects in order to coordinate information for multiple departments across the organization.
  • Track and record financial transactions, including accounts payable/receiveable and expense reports.
  • Coordinate and track team events, meetings, conferences, and training.
  • Provide general administrative and logistical support, such as catering coordination, room bookings, and resource preparation for meetings.
  • Manage and maintain office inventory and coordinate resupply and service requests as needed.
  • Arrange travel and accommodation including preparing itinerary, trip files and supplies.
  • Maintain and update team calendar and project overviews, ensuring visibility of key deadlines, milestones, events, and project updates and information.
  • Organize and maintain digital and physical file systems.
  • Maintain Standard Operating Procedures, including development of process improvements and new procedures.
  • Organize community engagement sessions, including preparing presentation materials.
  • Other related duties as required.

Job description

Position Summary

Under the direction of the Environmental Stewardship Manager, the Environmental Stewardship Administrative Coordinator will support the team responsible for environmental stewardship within Musqueam's Traditional Territory. The Coordinator is responsible for handling a wide range of administrative and support related tasks for the team's operations. In addition, the Coordinator will undertake planning and implementation of projects and stewardship initiatives related to the protection, enhancement and restoration of ecosystems and habitats. They will participate in the development of strategies and prepare a variety of reports and studies. They will also act as team liaison with a wide variety of internal and external contacts. This is a 6 month term position.

Knowledge, Skills and Abilities
  • Skill and Knowledge attained by the successful completion of a Post-secondary degree in administration, public policy, political science, environmental sciences, natural resource management or related field and a minimum of 2 years’ progressively responsible experience in environmental and First Nations issues, environmental policy, or broad-level program management with considerable related experience within a local government or First Nations organization; or an equivalent combination of education, skills and experience.
  • Proven experience working in and with environmental legislation, regulations and policies preferred; experience working with committee and/or Council structures.
  • Exemplary oral and written communication skills in presenting clear and concise findings for decision makers and writing a variety of proposals, policy and procedure drafts, reports and other documentation.
  • Excellent analytical, problem-solving, persuasion, and consensus-building skills with the ability to work under pressure and independently within a team environment.
  • Exceptional interpersonal skills with the ability to establish and maintain successful and effective relationships with a variety of internal and external contacts.
  • Excellent time management skills with the ability to manage multiple priorities and handle shifting priorities to produce results within deadlines.
  • Cultural competency and sensitivity towards Musqueam's cultural traditions with the ability to use sound judgment and diplomacy in high stress/conflict situations.
  • Advanced skills in MS Office software, Adobe Acrobat.
  • Proven ability to maintain confidentiality at all times.
  • Criminal record check.
  • Valid Class 5 BC Driver's Licence.
